Privacy Policy

This policy describes how Neugence Technology Pvt. Ltd. handles information when you use Whipscribe. It covers both the Whipscribe website / web app at whipscribe.com and the Whipscribe Chrome extension.

Whipscribe web service (whipscribe.com)

What we collect

• Audio and video you submit — either uploaded directly, or fetched from a URL you provide.
• Transcripts we generate from your submissions.
• Basic request metadata — IP address, user agent, timestamps — for operational logging and abuse prevention.
• Email address (optional) — if you top up prepaid credits or link your balance across devices, your email is stored and used to look up your balance.
• Inbound contact email metadata — when you email us at contact@neugence.ai, we log the sending domain (e.g. gmail.com) and email subject for abuse/spam routing. We do not log your full email address, message body, or attachments. These metadata records are automatically deleted after 90 days.

You don't need an account to use the free tier.

How we use it

Your submissions are used to produce your transcript and make it available to you. Request metadata is used to operate and secure the service. Your email, if provided, is used only to associate prepaid credits with you.

How long we keep it

• Audio and video you submit: kept for 30 days after the job completes (so you can play it back alongside the transcript), then automatically deleted. (30 days on the free plan, 365 days on any paid plan, 3 days for guest uploads without signing in — see retention policy.)
• Generated transcripts: on paid accounts, maintained while you have credits or an active plan and for 12 months after. On free accounts, we don’t warehouse data you’ve walked away from — transcripts auto-delete 90 days after your last activity (we email you twice first, and simply signing in resets the clock). Deleting a job from your dashboard removes both the transcript and any remaining audio immediately.

You can request earlier deletion at any time by emailing contact@neugence.ai with the job IDs involved, or by deleting the job from the dashboard.

Who processes your data

Processing runs on infrastructure operated by Neugence. We do not sell your data or share it with third parties for marketing.

Cookies and analytics

Whipscribe uses your browser's local storage to remember jobs you've submitted, your email (for credit top-ups), and your preferences. This data stays on your device.

We also use two third-party analytics services to understand how people use the site:

• Google Analytics (GA4) — aggregate page-view and session-length measurement. IP addresses are anonymised. We don't use Google's advertising-personalisation features.
• Mouseflow — anonymised session replays and heatmaps to spot UX problems. Mouseflow automatically redacts form inputs; we never record the audio or transcripts you submit.

Neither service receives your audio, your transcripts, or your paid account balance. You'll see a small notice at the bottom of the screen on your first visit; click OK to dismiss it.

We don't use advertising or retargeting cookies and we don't sell your data. If you want to opt out of analytics entirely, browser-level tracker blockers (uBlock Origin, Ghostery, Brave Shields, Safari's Cross-Site Tracking Prevention) all work — we don't circumvent them.

Whipscribe Chrome extension

The Whipscribe Chrome extension transcribes audio you choose: the audio of the tab you are on (a meeting on Google Meet, Zoom or Teams, or a playing video), your microphone, or the public video URL of the page you are watching. Recording starts only when you press Record or the Ctrl/Cmd+Shift+Y shortcut, shows a red REC badge while active, and stops only when you press Stop. The recording is uploaded once, at Stop, as a single file. The optional "Live preview" uploads short chunks while you record; it is off by default and labelled as using credits.

What data is collected

• Audio you record, or the video URL you submit. Uploaded to https://whipscribe.com to be transcribed. Never used to train anything.
• Your Whipscribe sign-in (optional). When you are signed in on whipscribe.com, the site lends the extension a short-lived ID token and your account email so recordings are saved to your own account. The token is stored on this device only (chrome.storage.local, never synced) and expires within an hour. Signed out, recordings stay on this device with a claim token until you sign in.
• Email address (optional). The email you link to see your credit balance is stored via chrome.storage.sync and sent to the credits backend at https://applyjobs.ai to look up your prepaid hours.
• Settings and your transcript list. Language, live-preview toggle, optional API key, and the short list of transcripts you requested (so their status shows across popup opens). Stored on your device.

Permissions and why

• activeTab, tabCapture — capture the audio of the tab you invoked the extension on, and offer "Transcribe this video" or "Record this meeting" based on that tab's address. Never any other tab.
• offscreen — required by Chrome to hold the audio stream and recorder; closed as soon as the upload completes.
• storage — the settings, transcript list and tokens described above.
• alarms — polls the status of a transcript you submitted every 30 seconds while it is processing.
• notifications — one system notification when a transcript you asked for is ready.
• sidePanel — opens the same interface docked beside the page, only when you ask.
• scripting — only when you click a timestamp: seeks the video on the tab you opened the extension on. Reads no page content.
• Content scripts on whipscribe.com only — sync your own sign-in into the extension as described above.

What data is NOT collected

• No passive background recording. The extension does not record, listen, or capture anything unless you click a Record button.
• No tracking, analytics, or telemetry of any kind.
• No personally identifying information beyond the optional email and anything you voluntarily include in recorded audio.

How recorded audio is used

Uploaded audio is processed by the configured backend to produce a transcript, which is returned to the extension and displayed in the popup. Whether and how the backend retains, stores, or further processes the audio is determined by that backend's operator and policies — not by this extension. If you use the default backend (https://whipscribe.com, operated by Neugence Technology Pvt. Ltd.), retention follows the "How long we keep it" section above.

Third-party services used by the extension

• Default transcription backend (whipscribe.com) — owned and operated by Neugence Technology Pvt. Ltd. The extension sends it audio files over HTTPS.
• Credits backend (applyjobs.ai) — the payment / credits service operated by the same publisher. Receives only the optional email you link and, if present, the guest token, to return your prepaid hour balance.
• Chrome Sync / Chrome Local Storage — standard browser-managed storage, subject to Google's own policies.

Send-to integrations (you-initiated)

When you click the "Send to ChatGPT / Claude / Gemini / Perplexity / Google Docs / Obsidian" buttons in the Done view, the extension opens a new tab at the destination and either passes the transcript as a URL query parameter (ChatGPT, Claude, Perplexity) or copies it to your clipboard for you to paste (Gemini, Google Docs, Obsidian). Data sent to those destinations is handled by their own privacy policies, not this extension's. Nothing is sent until you click one of those buttons.

Your choices

• Don't record. The extension does nothing if you never click a Record button.
• Point it at your own backend. The Options page lets you configure any base URL; your audio will then be sent only there.
• Uninstall at any time. Removing the extension deletes all locally stored settings.

Whipscribe Desktop (macOS app)

Whipscribe Desktop is local-first. Your audio files, recordings, and transcripts are processed entirely on your Mac using a bundled copy of whisper.cpp. None of that content ever leaves your device unless you explicitly choose to sign in to Whipscribe Cloud.

What stays on your Mac (always)

• The audio or video files you drop in or record.
• The resulting transcripts, edits, exports, and saved library entries.
• Any files you place in a watched folder.
• Whisper models you download.
• Your settings and integration credentials (Notion token, Obsidian vault path, webhook URLs).

These live under ~/Library/Application Support/com.neugence.whipscribe/ on your Mac. The settings file is written with chmod 0600; secrets stay in your account only.

Anonymous usage telemetry (opt-in only)

On first launch the app asks if you want to share anonymous usage data. You can decline, and you can change your mind at any time in Settings → Privacy. If you decline, no telemetry leaves your Mac.

If you opt in, we collect:

• An anonymous device identifier — a random UUID generated once on your Mac. It is not derived from your hardware, MAC address, IP address, or anything that identifies your device. You can see it in Settings → Privacy.
• App version and platform (e.g. 0.1.0, macos).
• Event records of these specific actions: app launched, transcript completed (with duration in seconds, model name, segment count), model downloaded or deleted, error encountered (with a short error code), update found or installed.

What we never collect, even with consent:

• Filenames, paths, or any text from inside your transcripts.
• The audio itself, in any form.
• Your name, email, or any account identifier.
• Hardware identifiers (per Apple App Store guideline 5.1.1.iv).
• Your IP address (server connection logs may briefly hold IPs for abuse-prevention but the IP is not stored alongside your telemetry events).
• Free-text fields. The server rejects any property string longer than 200 characters as a safety net.

How we use telemetry

Aggregate counts only — to understand which whisper models are most used, average transcription duration, and where errors cluster. We don't share telemetry with third parties or use it for advertising.

How long we keep desktop telemetry

• Raw events: 90 days.
• Aggregated counts (no anon IDs): kept indefinitely.

Whipscribe Cloud (only if you sign in)

Signing in to Cloud routes specific files to our servers for cloud transcription — the same data treatment as the web service above applies. Local-only transcripts never sync to Cloud.

Auto-update

The app checks for updates on launch by fetching a small JSON manifest from whipscribe.com. The manifest fetch records standard web-server access logs; no telemetry payload is sent. Update archives are cryptographically signed; the app verifies the signature before installing.

Your choices

• Decline at first launch. No telemetry is ever sent.
• Toggle anytime. Settings → Privacy → "Send anonymous usage data".
• Delete your anon ID. Quit the app and remove ~/Library/Application Support/com.neugence.whipscribe/anon_id; a new random ID will be generated next time. We have no way to link the old ID to the new one.
• Uninstall. Move the app to Trash, delete ~/Library/Application Support/com.neugence.whipscribe/. Everything local is gone.

Depending on where you live, you may have rights to access, correct, or delete personal data we hold about you. Contact contact@neugence.ai and we'll respond.
