What a team plan is
Workspace is WhipScribe’s monthly plan: unlimited transcription for files, links and recordings of any length, with a fair-use mark of 300 hours of audio per billing period, 100 GB of storage, and your own API keys. Since 30 October 2026 the same plan carries a team: the person who pays is the owner, and the owner can add up to 4 team members by email.
- Each member signs in with their own email address. No shared password, no shared inbox.
- Everything a member transcribes runs on your plan. Nothing is charged to them, and any credits they already hold are never touched.
- Every transcript a member makes appears in your Library, marked with who made it. Your own transcripts stay private to you, and members never see each other’s work.
- There is no per-seat fee. The plan is $19 a month whether one person or five use it.
Who it fits: a small business or agency whose assistant uploads the client calls; a study group splitting one plan for a semester of lectures; a research team where assistants record in the field and one person reads it all. The Teams page has an example of each.
Add a team member
- Start Workspace, if you have not already, from the Teams page or pricing. The plan is on your account the moment payment clears.
- Open your Credits page. Sign in and go to whipscribe.com/credits. Under the plan card you will find the Team card, with the seats in use: Seats 0 of 4 on a new plan.
- Add an email. Type the member’s email address, the one they sign in with, and press Add. The row appears at once with “not signed in yet” until they first use it.
- Tell them to sign in. There is no invitation to accept. The member signs in at whipscribe.com with that email, uploads or records as usual, and the work runs on your plan.
If the member already has a WhipScribe account under that email, it keeps working as before; it simply transcribes on your plan now. If they do not, they sign up with that email like anyone else.
When an email cannot be added
The Team card says why in a sentence. The cases:
- “That email is already on a Workspace team.” An email can be a member of one Workspace at a time.
- “… has its own Workspace plan.” An email that owns a Workspace cannot also be a member of yours.
- “That is your own email.” The owner is already on the plan.
- “All 4 seats are taken.” Remove someone first. A removed seat frees up after a 30-day cooling period, so a plan cannot rotate through many people in a month.
What each person sees
| On the plan | Owner | Team member |
|---|---|---|
| Own login | Yes | Yes, their own email |
| Own Library | Yes | Yes, their own transcripts only |
| The other members’ transcripts | All of them, each marked with who made it; a Made by filter in the Library | No |
| The owner’s own transcripts | Yes | No |
| Summary, chapters, chat, exports on a member’s transcript | Yes, like the person who made it | Yes, on their own |
| Delete a transcript | Their own | Their own |
| Add or remove members | Yes, on Credits | No |
In your Library, a transcript made by a member carries a small by chip with their address, and the Made by filter shows one person’s work at a time. A member’s Credits page says whose plan they are on and shows no Team card.
Billing
- One bill. $19 a month on the owner’s card, through Paddle, renewing on your billing date. Receipts and the card on file are under Manage billing & receipts on Credits.
- Members are never charged. Their transcripts are not deducted from anything of theirs. Credits a member bought earlier stay on their own account, unchanged, for whenever they are not on a team.
- Your own credits stay too. While Workspace is active nothing is deducted from your pack balance; it shows beside the plan on Credits.
- Cancel anytime. The plan, and the team with it, stays active to the end of the period you paid for.
Limits
- Seats: the owner plus up to 4 members. Five people in all, on one plan.
- Fair use: 300 hours of audio per billing period, pooled across the whole team, about 10 hours a day. Past that, new uploads from anyone on the plan are spaced out for the rest of the period, queued behind other customers’ work. Nothing is refused and nothing is charged extra. The hours used so far show on the owner’s Credits page, per member.
- Storage: 100 GB of stored recordings included for the whole team, then $3 per extra 100 GB a month, measured at the end of each billing period.
- One team per email: an email can be a member of one Workspace at a time, and cannot be a member while it owns its own Workspace.
- File limits are the same as for anyone: a file can be up to 10 hours or 5 GB.
Remove a team member
- On Credits, find the person’s row in the Team card and press Remove.
- Press it a second time to confirm; the first press only arms it.
They stop transcribing on your plan straight away. Everything they made while on the team stays in your Library; they keep their own login and their own copy of their work. The seat they held can be given to someone else after 30 days.
When the plan ends
If you cancel, or a renewal fails, the plan runs to the end of the paid period and then stops. From that moment members no longer transcribe on your plan; they are back on whatever credits they hold themselves. Your Library keeps your transcripts, exports and audio, and everything your members made while they were on the team. Starting Workspace again brings the team back under the same rules.
Short answers
Can a member see my transcripts?
No. Members see only their own work. You see yours and every member’s.
Can two members see each other’s work?
No. If your team needs a shared view, the owner’s Library is that view.
Can I give a member a limit of their own?
Not today. The fair-use mark is one pool for the whole plan; the Credits page shows how much each member has used this period.
Do members need to accept anything?
No. Adding the email is the whole step. The first time they sign in with it, they are on the plan.
Can I be a member of someone’s team and keep my own credits?
Yes. Your credits are untouched while you are on a team and are there for you afterwards.
