Transcription for council clerks from the meeting recording to draft minutes.
A council clerk with a 4-hour meeting recording gets the text back in about 8 minutes, with chapters per agenda item and the motions, figures and dates listed in the brief. A quarter of six council meetings and six committee meetings is 1,980 minutes, which fits the $18 pack of 3,000 minutes.
The clerk's long recordings
Council, committee and hearing recordings, turned into a draft you correct rather than write.
Streamed or recorded in the chamber
If meetings are streamed to YouTube or Vimeo, paste the replay link and nothing needs downloading; a live replay longer than 6 hours starts once a pack is on the account. Audio from the chamber's own system or a video file from the webcast provider is uploaded instead.
Agenda items as chapters
Chapters break where the discussion moved to the next item, so the item that ran for two hours and the consent agenda that took four minutes each have their own place. The brief lists motions, amendments, amounts and dates as they were stated.
One file for a long evening
A meeting with a long public participation period can run past five hours. One file up to 10 hours or 5 GB holds it; files up to 500 MB go into the box on this page and a larger file continues on the main upload page.
A quarter, priced
Packs start at $4 for 300 minutes, and credits never expire.
How minutes usually get written
Minutes are due before the next agenda, and the recording is four hours long.
✗ Notes plus a long replay
The clerk takes notes at the table, then replays the recording to confirm wording and fill the gaps before the deadline.
- Hours of replay to confirm one amendment
- Notes that lag behind fast debate
- Public comment hard to summarise from memory
- Past meetings that cannot be searched
- Webcast files too large for most tools
- Requests for 'what was said' answered by replay
✓ A draft from the recording
The recording returns with agenda chapters, a brief and text you can search.
- About 8 minutes for a 4-hour meeting
- Chapters per agenda item
- Members named in the summary and quotes
- Motions, figures and dates listed
- Chat to find where an item was debated
- DOCX for the minutes template

FAQ
Clerks ask these first.
Can the brief be used as the minutes?
Treat it as a draft. The approved minutes are the clerk's record, so check every motion, mover, amendment and vote tally against the recording at its timestamp before the minutes go to the next meeting for approval.
How long does a council meeting take to transcribe?
About 2 minutes per hour of audio: a 4-hour meeting in about 8 minutes, a 90-minute committee in about 3.
What does a year of meetings cost?
Packs start at $4 for 300 minutes, and credits never expire. A single meeting of up to about 8 hours fits the $18 pack of 3,000 minutes. A council that records several meetings every week may prefer the $19 a month Workspace.
The webcast file is several gigabytes. Does it upload?
Uploads go up to 5 GB or 10 hours per file, with or without a pack. If the meeting is on YouTube or Vimeo, paste the link instead. A meeting longer than 10 hours goes in as two files, split at a recess.
Can we publish the transcript or captions?
Exports are TXT, DOCX, SRT, VTT and JSON; whether and how to publish them is the council's decision. Captions should be read once for names and place names before they go up.
Where is the recording processed?
Recordings are transcribed on our own servers and are never used for training.
