Transcribe an HOA meeting recording without replaying it.
Need to transcribe an HOA meeting recording so the minutes reflect what owners and the board actually said? Drop the Zoom file or phone recording below: a three-hour meeting comes back in about 6 minutes, and the first 20 minutes are free. The brief lists the decisions, the dues figures and the dates, which is most of what the minutes need.
Why HOA meetings fit here
The volunteer secretary gets the evening back.
Whatever recorded the meeting
HOA meetings get recorded on whatever is at hand: a Zoom cloud recording, a phone on the clubhouse table, a laptop in the corner. Any of those files can go up as it is, and an annual meeting with a long video file continues on the upload page.
Decisions and owners' questions
The brief pulls out what the board decided, the assessment and reserve figures that were quoted, and the dates for repairs and votes. The questions owners raised during the open forum are gathered too, so follow-up letters do not miss anyone.
Settle the dispute about what was said
Disagreements in associations often come down to exact wording: was the fence approved, or only discussed? Search the transcript for the word, jump to its timestamp, and play the recording at that point.
A year of meetings for little
A 2.5-hour board meeting is 150 minutes, and the first 20 minutes are free to a new visitor, so the $6 pack of 500 minutes handles it. Twelve monthly meetings of two hours each add up to 1,440 minutes, which the $12 pack of 2,000 minutes covers.
The minutes are due
A secretary with a recording, or a secretary with a draft.
✗ A long recording and a volunteer
Someone on the board agreed to take minutes and now owns three hours of audio and a deadline before the next meeting.
- Three hours of audio replayed on a weekend
- Motions recorded with the wrong mover
- Owners disputing what the board promised
- Reserve and dues figures misheard
- Open-forum questions never answered
- Minutes posted a month late
✓ Minutes that start from the brief
The meeting returns as searchable text, with the decisions and figures already pulled into a short brief.
- Decisions listed in the order they were taken
- Dues, reserve and bid figures in the brief
- Owners' questions gathered from the open forum
- Any phrase found by search and timestamp
- About 6 minutes for a 3-hour meeting
- DOCX ready to edit and circulate

FAQ
HOA meeting recordings, answered.
How long does it take to transcribe a 3-hour HOA meeting?
About 6 minutes, at roughly 2 minutes for every hour of audio. A quick 90-minute board meeting is usually back in around three. You can close the browser and return to it later.
What does a 2.5-hour HOA meeting cost?
It is 150 minutes. A first-time visitor gets the first 20 minutes free, and the $6 pack of 500 minutes covers the rest with plenty over for the next meeting. An association that records every month may prefer the $12 pack of 2,000 minutes, which lasts well over a year of two-hour meetings.
Our Zoom recording of the annual meeting is huge. Will it work?
Files up to 5 GB are accepted. Before the first pack, the limit is 2 GB, so a larger file starts once a pack is on the account. Zoom also saves an audio-only M4A next to the video, which is much smaller and transcribes just as well.
Do I need to cut the recording into parts?
No. A single file can run up to 10 hours, far longer than any HOA meeting, so upload it exactly as it was saved. If the meeting was recorded in two pieces, upload both and each gets its own transcript.
Is the transcript an official record of the meeting?
No. It is an AI transcript with timestamps to draft the minutes from, not a certified transcript, not a substitute for a court reporter, and not legal advice. Your governing documents decide what the official minutes are.
Which formats can we export, and who sees the recording?
DOCX, TXT, SRT, VTT and JSON. Owners' voices and comments stay private: the recording is transcribed on our own servers, is never used for training, and can be deleted along with its transcript.
