How to transcribe a Japanese meeting from the recording, in Japanese.

Upload the meeting recording (or paste a Google Drive link) and WhipScribe detects Japanese on its own, taking one file up to 10 hours or 5 GB and returning text at about 2 minutes per audio hour, so a 2-hour meeting is ready in roughly 4 minutes. Your recording starts with a free preview of its opening minutes; uploads up to 5 GB work before any pack, and that 2-hour meeting uses 120 minutes of the $4 pack (300 minutes).

Three steps

From the meeting file to Japanese text you can work from.

1. Find the file

A Zoom or Teams meeting usually leaves an MP4 in your recordings folder or cloud storage, and a room IC recorder leaves an MP3 or WAV on its card. Download it to your computer; the exact menu names vary by app version, so look for a download or save option next to the recording.

2. Upload or paste a link

Drop the file into the box above, which takes files up to 500 MB; a bigger one continues on the upload page, still up to 10 hours or 5 GB. If the recording already sits in Google Drive, paste the share link instead and skip the download.

3. Read, then write the minutes

The brief gives the thesis and takeaways, chapters mark each agenda item with a timestamp, and the names, numbers and dates said in the room are listed. Participants are named in the summary, key quotes and chapters, which is most of what a gijiroku (議事録) needs.

What it costs

Minutes are counted on running time. Four 2-hour meetings make 480 minutes, inside the $18 pack of 3,000 minutes. Credits never expire, so a pack bought for one month's meetings still works next quarter.

Japanese meetings

Why a Japanese meeting is slow to write up by hand.

✗ Typing it up yourself

Replaying a recording to write minutes takes several times the meeting's length.

  • Pausing every few seconds to catch keigo
  • Katakana terms spelled three different ways
  • Choosing the language in a menu first
  • Short clips only, so the file is cut up
  • Agenda items found by scrubbing
  • Minutes written days after the meeting

✓ Upload and read

The recording goes in whole and comes back organised.

  • Japanese detected from the audio
  • English product names left as spoken
  • Files as long as 10 hours
  • About 4 minutes for a 2-hour meeting
  • Chapters per agenda item
  • DOCX ready to edit into minutes

FAQ

Japanese meetings: the follow-up questions.

Do I need to set the language to Japanese?

No. There is no language menu; Japanese is detected from the audio among 99 languages. A meeting that slips into English for a slide title or a product name is still written on its main language, with those English terms kept.

How long does a 3-hour meeting take, and what does it cost?

About 6 minutes at roughly 2 minutes per audio hour. Packs start at $4 for 300 minutes, and credits never expire.

We meet every week. Which pack fits a month?

Four 90-minute weekly meetings plus one 3-hour board meeting come to 540 minutes, just over the smallest pack. Packs start at $4 for 300 minutes, and credits never expire.

Will names be written in the right kanji?

Names with several possible readings are the part to check. The chapters and summary name the participants, but read surnames and company names against your attendee list before you send the minutes, and fix them once in the DOCX.

What if the meeting ran over 10 hours or the file is over 2 GB?

Over 10 hours or 5 GB, export or trim it into two files and upload both; minutes are counted the same either way. A file of 3 or 4 GB uploads with or without a pack, or you can export the audio only, which is far smaller.

Can I record the call and transcribe it?

Recording a call needs whatever consent the law where you and the participants are requires, so say at the start that the meeting is recorded. WhipScribe works on the recording afterwards; no bot joins the call. Files are transcribed on our own servers and are never used for training.
