What the clerk handles
Long meetings, a public record and a community that wants to read it.
Where the recording comes from
Many boards stream their meetings, and a stream archived on YouTube can be pasted as a link. A recording from the district's own video system is downloaded and then uploaded; the box here takes up to 500 MB and larger files continue on the main upload page, up to 10 hours or 5 GB.
Public comment, speaker by speaker
Public comment is the hardest part to minute: a dozen speakers, three minutes each, many on the same item. Chapters with timestamps mark where each comment starts, and the speakers are named in the summary when they state their names at the podium.
The caution: names said out loud
Parents at the microphone sometimes name a child, a teacher or a medical situation. Before posting a transcript publicly, read the public comment section and decide what your district's practice is for those names. The approved minutes stay the official record; the transcript is a working copy.
A school year of meetings
Two regular meetings and one work session a month, at 3.5, 3.5 and 2 hours, are 540 minutes. Packs start at $4 for 300 minutes. Buy the $32 pack for the bulk of the year and add a $4 pack in the spring. Credits never expire.

FAQ
School board clerks' questions, answered.
How long does a board meeting take to transcribe?
About 2 minutes per hour of audio. A 3.5-hour meeting is ready in about 7 minutes, and a 2-hour work session in about 4.
What does a month cost?
Two regular meetings of 3.5 hours (420 minutes) and a 2-hour work session (120) total 540 minutes. Packs start at $4 for 300 minutes. Credits never expire, so the balance waits through summer break.
Is the transcript the official record?
No. The approved minutes remain the official record. The transcript is an AI working copy for drafting minutes and answering questions, not a certified transcript.
Our meetings sometimes run past 10 hours. Then what?
One file can be up to 10 hours or 5 GB, so a marathon budget meeting goes up as two files. Before the first pack, uploads go up to 5 GB; a larger file can be split or have its audio exported.
Do comments in Spanish or another language work?
Yes. 99 languages are detected automatically. A meeting that switches language is detected on its main language, so a comment given through an interpreter comes back clearest in the interpreted language.
Is the recording kept private?
Recordings are transcribed on our own servers and are never used for training. Even for a public meeting, a recording can be deleted from the account whenever you choose.
