Transcription for HOA secretaries long association meetings, ready for the minutes.
An HOA board meeting of 2 hours comes back as text in about 4 minutes, with the motions, votes and dollar amounts gathered in a brief you can draft the minutes from. Packs start at $4 for 300 minutes, and credits never expire.
The secretary's job
You are writing minutes while also trying to follow a heated owners' forum.
How the meetings get recorded
Most associations record on a phone in the middle of the table, a small recorder, or the video call the board meets on. All of it uploads as a file. A meeting that was streamed to YouTube can be pasted as a link, and a recording shared from Google Drive can be pasted as a share link.
From recording to draft minutes
Chapters break the meeting at each agenda item, and the brief lists the motions, who moved and seconded them when names were said, the vote and the amounts. That is most of a minutes draft. Export to DOCX and edit it into the association's own format.
The caution: a transcript is not the minutes
Minutes record what was decided; a transcript records everything that was said, including an owner's complaint about a neighbour. Write the minutes from the text, let the board approve them as usual, and think hard before circulating the full transcript to all owners.
Hall recordings and big files
A 2-hour audio file is small, often well under 200 MB. Video of a meeting is larger: the box on this page takes up to 500 MB and anything bigger continues on the main upload page, up to 10 hours or 5 GB per file with or without a pack.

FAQ
HOA secretaries' questions, answered.
How long does a board meeting take to transcribe?
About 2 minutes per hour of audio, so a 2-hour board meeting is ready in about 4 minutes and a 3-hour annual meeting in about 6.
What does a year of meetings cost?
Twelve monthly board meetings of 2 hours are 1,440 minutes, and a 3-hour annual meeting adds 180, for 1,620 minutes. Packs start at $4 for 300 minutes. Credits never expire.
Can I just publish the transcript as the minutes?
It is better not to. The board approves minutes as a summary of decisions; a full transcript includes side conversations and personal remarks. Use the brief and chapters to draft the minutes, and keep the transcript as the secretary's working record.
Will it know which director said what?
Directors are named in the summary, key quotes and chapters when the recording introduces them, so a roll call at the start helps. Owners who give their name or unit before speaking are easier to follow too.
Our meetings are on a video call. Does that work?
Yes, from the recording the call saves. Download it, then upload it; no bot joins the call. Recording a meeting needs the consent the law where you are requires, so announce it at the start.
Is the recording kept private?
Recordings are transcribed on our own servers and are never used for training. A meeting can be deleted from the account at any time, for example once the minutes are approved.
