A 4-hour board meeting is 240 minutes of audio and is transcribed in about 8 minutes; a room recorder file is usually 100 to 250 MB, and a video-call recording of the meeting often 0.5 to 2 GB. One meeting takes 240 of the 300 minutes in the $4 pack, and the opening minutes are free.

From call to order to adjournment

A long board meeting, turned into something the secretary can work from.

However the board met

In the boardroom with a conference recorder, on Zoom or Teams with cloud recording, or hybrid with both. Download the file and drop it here up to 500 MB, or on the upload page for a larger video. A recording kept on Google Drive can be pasted as a link.

The agenda, as chapters

Approval of the previous minutes, the chief executive's report, finance, committee reports, matters for decision, any other business. Chapters land at those turns with timestamps, so the treasurer's section opens in one click for whoever checks the figures.

What the secretary has to copy exactly

The brief lists the amounts, dates, motions and names said aloud, each with its timestamp, and gives the meeting's main decisions as takeaways. Directors are identified and named in the summary, key quotes and chapters when they are addressed by name.

Twelve meetings, one pack

Packs start at $4 for 300 minutes, and credits never expire. A board that meets quarterly needs 960 minutes a year, inside the $18 pack.

Minutes from memory

Four hours of discussion, a few pages of minutes, and a week to write them.

✗ Notes and the recording

The secretary takes notes, keeps the recording as a backup, and then rewinds it for days.

  • Rewinding to check one amount
  • A file too long for any free tool
  • Motions written down half-complete
  • Debate summarised from fading notes
  • Committee reports with no timestamps
  • Minutes drafted a week after the meeting

✓ Text the same evening

The whole meeting in one transcript, with the decisions pulled out.

  • About 8 minutes to process
  • Chapters per agenda item
  • Sums and dates, each with its time
  • Directors named in the summary
  • Decisions listed as takeaways
  • A DOCX to start the minutes

FAQ

4-hour board meetings, answered.

How quickly is a 4-hour board meeting transcribed?

About 8 minutes, at roughly 2 minutes per hour of audio. You can upload and close the tab; the transcript will be in your Library.

How much is a full year of board meetings?

One meeting uses 240 of the 300 minutes in the $4 pack. Four quarterly meetings are 960 minutes, on the $18 pack of 3,000 minutes. Credits never expire.

Can the board adopt this transcript as its minutes?

No. It is a working transcript the secretary can draft minutes from. The minutes the board approves remain the record, and the timestamps make any line easy to check against the recording.

Part of the meeting was in closed session. Is the recording safe?

Board recordings are transcribed on our own servers and are never used for training. Whether a confidential session should be recorded at all is the board's decision; if it was, you can also trim that part out before uploading.

The video file is 2.6 GB. What happens?

Uploads before a first pack go up to 5 GB, and a 2 to 5 GB file does not wait for a pack. An audio-only export of the same four hours at 128 kbps is about 230 MB. A single file can run up to 10 hours, so a long annual meeting rarely needs splitting.

Which languages and exports are supported?

99 languages are detected automatically; a meeting held mostly in one language with some English terms is handled. The secretary can export TXT, DOCX, SRT, VTT or JSON.
