Transcribe recordings from a university senate room senate and faculty board meetings.
A university senate meeting of three hours comes back as text in about 6 minutes, and a 90-minute faculty board in about 3. The first 20 minutes are free; eight senate meetings and ten faculty boards in a year come to 2,340 minutes, which the $24 pack of 5,000 covers.
How senate rooms record
Delegate microphones around a horseshoe table, and a recording someone has to turn into minutes.
Push-to-talk microphones help
Many senate rooms have a conference system where each member presses a button to speak. That feed is close to every voice and transcribes cleanly. Where the room has only ceiling mics or the meeting ran on Teams or Zoom, the recording that system saves works too; download it and upload it here.
Agenda, chapters, decisions
Each meeting returns a brief with the main decisions, chapters with timestamps that follow the agenda, the names, numbers and dates said, and the questions the meeting answered. Members, the chair and the secretary are named in the summary and chapters when the chair calls on them.
Sizes and where to send them
An audio export of a three-hour meeting is usually well under 500 MB and fits the box on this page. A video file from the room's capture system may be several gigabytes and continues on upload page, up to 10 hours or 5 GB. A meeting streamed to YouTube or Vimeo can go in as a link.
The academic year, priced
Eight senate meetings of three hours are 1,440 minutes, inside the $12 pack of 2,000. Add ten faculty boards of 90 minutes and the total is 2,340, which the $24 pack of 5,000 covers with 2,660 left for committees and working groups.
Why senate minutes run late
The secretariat has three hours of debate and a template that asks for one paragraph per item.
✗ Minuting by hand
A clerk takes notes while the debate moves on, then replays the recording to check every amendment.
- Amendments recorded in the wrong order
- A day spent replaying the audio
- Members asking what exactly was agreed
- Room recordings nobody can search
- Free tiers that stop before item four
- Seat licences for a few meetings a term
✓ Minutes drafted from text
Upload after the meeting and draft each item against chapters and timestamps.
- Each agenda item as a chapter
- Votes and figures in the brief
- Speakers named in the summary
- Amendments found by timestamp
- DOCX for the minutes template
- $24 for the year's meetings

FAQ
Senate room recordings, answered.
How long does a senate meeting take to transcribe?
About 2 minutes per hour of audio: a three-hour senate is ready in roughly 6 minutes, a faculty board of 90 minutes in about 3.
What does one meeting cost?
A first visit transcribes the first 20 minutes free. For a three-hour meeting the remaining 160 minutes come from a $6 pack of 500, which leaves 340 minutes, enough for another long faculty board. Credits do not expire.
Is the transcript the official record?
No. It is an AI transcript to work from. The minutes the senate approves stay the record of the meeting, and the transcript speeds up drafting and checking them.
What about reserved or confidential business?
Check your university's rules on where meeting recordings may be processed before uploading. Many secretariats stop the recording for reserved items or upload only the open part. Recordings are transcribed on our own servers and are never used for training.
The meeting ran longer than 10 hours over two days.
Each file can be up to 10 hours or 5 GB, so upload each day, or each session, as its own file. Before the first pack, uploads up to 2 GB start immediately; larger files start once a pack is on the account.
Do we get captions for a published recording?
Yes. Every run gives TXT, DOCX, SRT, VTT and JSON, so an open session posted for staff can carry captions from the same transcript.
