Transcribe P&C meeting recordings in Australia, with the minutes half written.
A recorded school P&C or council meeting of 2 to 3 hours comes back as text in about 4 to 6 minutes, with a brief the secretary can draft minutes from, and the first 20 minutes are free. Three 2.5-hour meetings, 450 minutes, fit the $6 pack of 500 minutes, priced in US dollars.
For the volunteer who takes the minutes
Run the meeting and listen. The recording does the note-taking.
Phone on the table or Zoom
A phone in the middle of the library table records a whole meeting as an audio file; upload it afterwards. A hybrid meeting run on Zoom or Teams saves a recording you download and upload here. Tell everyone at the start that the meeting is being recorded.
From brief to minutes
The brief lists what was decided, and the chapters follow the agenda: treasurer's report, canteen, fundraising, general business. Motions come back with who moved and seconded them named in the summary, which is most of what formal minutes need.
A school year, counted
Eleven monthly meetings of 2 hours make 1,320 minutes, inside the $12 pack of 2,000 minutes. Credits do not expire, so the next secretary inherits whatever is left on the account.
The question nobody minuted
Weeks later someone asks what was agreed about the uniform shop. The chat over the transcript answers from the meeting itself and gives the minute, so the answer can be checked against the recording.
Why meeting minutes take all week
Two and a half hours of discussion, and one volunteer trying to write it down.
✗ Minutes pieced together at home
The secretary takes notes while trying to follow the discussion and vote. Back home, the notes have gaps, the figures in the treasurer's report are half recorded, and the draft goes out late.
- Notes that miss who moved a motion
- Treasurer's figures copied wrong
- Discussion summarised from memory
- A draft that takes a week to circulate
- Arguments over what was agreed
- A recording nobody will replay
✓ Minutes drafted from the recording
The recording becomes a transcript with a brief and chapters by agenda item. The secretary edits a draft instead of writing from scratch, and every decision can be traced to the minute it was made.
- About 5 minutes for a 2.5-hour meeting
- Mover and seconder named in the summary
- Agenda items as separate chapters
- Amounts and due dates collected
- Action items with owners
- DOCX to edit into the minutes template

FAQ
P&C meeting recordings, the common questions.
How long does a 3-hour P&C meeting take?
Near 6 minutes, since an hour of audio takes about 2. The secretary usually has the transcript before getting home from the school.
What does a committee year of meetings cost?
One 2.5-hour meeting is 150 minutes, so three fit the $6 pack of 500 minutes. A full year of monthly 2-hour meetings is 1,320 minutes on the $12 pack of 2,000, and the credits stay on the account from one committee to the next.
Does it write the minutes?
It writes the material for them: a brief of decisions, chapters by agenda item, motions with mover and seconder named, and the amounts and dates said. The secretary still shapes that into the association's own minutes format and checks it before it is adopted.
Our meeting ran over two recordings; how do we handle that?
Upload both. Each file can be up to 10 hours or 5 GB, and up to 2 GB before your first pack; a phone audio file of a whole meeting is usually under 200 MB.
Some parents speak in another language. Can it cope with that?
Detection is automatic, across 99 languages, with no setting to pick. A meeting held mostly in English is detected as English; when a parent speaks in Arabic or Vietnamese for a stretch, that passage is worth checking against the audio.
Is the recording private, and which files can I download?
Recordings are transcribed on our own servers and are never used for training, and the committee can delete a meeting once its minutes are adopted. Downloads are DOCX, TXT, SRT, VTT and JSON.
