2.5-hour onboarding · about 5 min · DOCX into docs

Transcribe an onboarding session and turn it into documentation.

An onboarding session recording of two or three hours holds everything a new hire needs, spoken once. Upload it or paste the link and 2.5 hours comes back in about five minutes, as a transcript, a chaptered brief and a DOCX you can edit into the docs.

Why onboarding is recorded and then forgotten

The best explanation of your systems is in a recording nobody opens.

An outline for the documentation

Chapters with timestamps divide a long session into accounts and access, tools, the first week's tasks and who to ask. That list is the outline of the onboarding doc you have meant to write, and each heading links back to the minute where it was explained.

The questions new hires really ask

The brief lists the questions the recording answers, which in onboarding are the questions new people raised. Those become the FAQ section, in their wording rather than yours.

The next cohort finds it

Sessions land in a Library searchable across recordings, so someone joining in March can search the January session for "VPN" and read the answer instead of booking a call.

A whole cohort at once

Eight sessions of two and a half hours are 1,200 minutes, which one $12 pack covers. Paste a Google Drive folder link and every recording in it is picked up.

From recording to reference

Every cohort sits through the same three hours, and asks the same questions after.

✗ Onboarding by repetition

The session is recorded, but the recording is not the reference. Each new person sits through it live, and the questions they raise disappear into a chat thread.

  • The same session run live for every hire
  • Questions answered in chat and lost
  • A wiki page that stopped matching reality
  • A three-hour video with no way in
  • Experts pulled away to explain again
  • Notes that depend on who took them

✓ Onboarding with a written record

The recording becomes the first draft of the docs. Someone edits a transcript into shape instead of writing from memory, and the next cohort reads before they ask.

  • A DOCX draft to edit, not a blank page
  • Chapters as the outline of the docs
  • New hires' questions kept as an FAQ
  • Search across every past session
  • Speakers named in the summary and quotes
  • About five minutes per session

Sample output

Hour two, where the real questions start.

This is an illustrative exchange created for this page, not a real onboarding call. It shows the sort of question that turns into an FAQ entry.

01:52:30 That's the deploy process. Questions before we move on to on-call?
01:52:41 If I break staging on my first day, who do I tell? Is there a channel, or do I message someone directly?
01:52:55 The platform channel, always. Don't message one person, because if they're out nobody else sees it.
01:53:08 And the rollback, is that something I can do or does it need approval?

FAQ

Onboarding recordings, answered.

How long does a 2.5-hour onboarding session take?

About five minutes, at roughly 2 minutes per hour of audio. A three-hour session takes about six.

What does transcribing a cohort cost?

One 2.5-hour session is 150 minutes and fits the $6 pack of 500 minutes. Eight sessions of that length come to 1,200 minutes, which belongs on the $12 pack of 2,000. A team that onboards someone every week can use Workspace at $19 a month, which adds a shared searchable Library.

Is there a size limit for the session recording?

The limit is 10 hours or 5 GB per file. A first upload before any pack can be up to 2 GB, and a bigger file starts once a pack is on the account.

Our onboarding is split across three days. One file or three?

Three, one per recording as it was saved. Each gets its own transcript and chapters, and all three sit side by side in the Library. If one day ran past 10 hours on a single recording, that day goes up as two files, which is rare for onboarding.

We onboard people in English and Hindi. Is that supported?

Both are among the 99 languages detected automatically, with nothing to select. The summary, key quotes and chapters name the people speaking.

What formats suit documentation, and does internal material stay private?

DOCX is the usual starting point; TXT, SRT, VTT and JSON are there too. Recordings are transcribed on our own servers and are never used for training, which keeps system names and access details out of anyone else's model.
