How to share a long transcript with the people who need it.
Transcribe the recording once, then send your team the link from the Share button on the transcript page, or a DOCX for colleagues who work in documents; one recording can run up to 10 hours or 5 GB and takes about 2 minutes per audio hour. The opening minutes are a free preview, uploads go up to 5 GB with or without a pack, and a 3-hour all-hands of 180 minutes fits the $4 pack of 300 minutes.
Sharing a long recording
Nobody on the team will listen to four hours. Most will read the right ten minutes.
Share the page, not the recording
The Share button on a finished transcript gives you a link. Whoever opens it gets the transcript page: the brief, the chapters with their times, search across the text, and the audio, where clicking a line plays the recording from that point. For a 4-hour planning session, that is the difference between a colleague reading the budget chapter and scrubbing through the whole afternoon.
Send a file where the team already works
Some teams live in documents. Download the DOCX and put it in the shared drive, or attach it to the ticket or the minutes. For a wiki or a chat channel, TXT pastes cleanly; for a recording the team rewatches, SRT and VTT add captions. For people who will open nothing long, paste the brief and the key quotes into a message.
Point people to the right minute
Everyone works from the same clock, so a note saying “see 02:14:30” points to the same moment on the transcript page, in the audio and in every export. Chapters give each part of the recording a title and a start time, and speakers are identified and named in the summary, key quotes and chapters, which is usually all a teammate needs to find their part.
Who pays, and how much
Credits sit on the account that transcribed the recording and there is no seat fee, so one person can transcribe and share with the whole team. Three 2-hour meetings a week come to about 1,560 minutes a month, inside the $18 pack of 3,000 minutes. A team that records every week can also choose the Workspace at $19 a month.
Forwarding the recording versus sharing the transcript
A 3 GB attachment is not a way to share a meeting.
✗ Forwarding the recording
How long meetings usually travel around a team.
- A file too big for most mail
- Everyone expected to listen to all of it
- Notes from one person, in one person's words
- Quotes nobody can find again
- Five versions of the notes in five inboxes
- Late joiners with no way to catch up
✓ Sharing the transcript
One recording, read by everyone who needs it.
- One link to the transcript page
- Search and click-to-play in the browser
- Chapters with start times
- DOCX for the shared drive
- Speakers named in the summary, quotes and chapters
- No seat fee on packs

FAQ
Sharing long transcripts, answered.
How do I share a long transcript?
Open the finished transcript and use the Share button to copy its link, then send it in the team channel or by mail. If people prefer a file, download DOCX or TXT and share it the way you share any document.
Can teammates jump to a moment in the audio?
Yes, on the transcript page: clicking a line plays the recording from there, and search finds every mention of a name or a figure. In the exports, each line keeps its timestamp.
How do I keep a series of meetings together?
Add each recording to a folder in your library, one folder per project or per quarter, and share the transcripts from there as each meeting is done.
Does everyone on the team need to buy a pack?
No. Packs are one-time, credits never expire and there is no seat fee: the person who transcribes spends the minutes, and sharing the result costs nothing extra.
What if the meeting ran longer than 10 hours?
One file holds up to 10 hours or 5 GB, so a longer session goes up as two files and you share two links. Part two starts its clock at zero, so mention the split when you point people to a time.
Is a shared transcript still private?
Recordings are transcribed on our own servers and are never used for training. Send the link only to the people who should read it, and delete the recording and transcript when the project ends.
