IEP meetings · 1 to 2 h · about 4 min to a transcript

Transcribe IEP meeting recordings with every commitment kept in writing.

An IEP meeting in the US usually runs 1 to 2 hours, and WhipScribe turns a 2-hour recording into a timestamped transcript in about 4 minutes, with the first 20 minutes free. An annual meeting plus three reviews of 2 hours each comes to 480 minutes, which fits on the $6 pack of 500 minutes.

From the meeting table to a written record

Parents leave an IEP meeting with a dozen promises in their head. The transcript keeps them.

What the team said, with the time it was said

Minutes of service, start dates, the person responsible for a reading assessment: an IEP meeting is full of small commitments that are easy to misremember a month later. The brief lists the names, numbers and dates that were spoken, and each one links back to the moment in the recording.

Recorded the way your district allows

Many families record IEP meetings on a phone placed on the table, after telling the school ahead of time; schools often keep their own recording too. Check your district's policy and give the notice it asks for, then upload the audio afterwards. No bot joins the meeting and nothing listens live.

Phone memos go straight in

A phone voice memo of a 2-hour meeting is usually well under 200 MB, so it uploads in the box above in a minute or two. A video call recording of a virtual IEP meeting, usually an MP4, can be larger and continues on the upload page when it is.

Put a question to the meeting

The chat answers questions over the transcript, such as how many minutes of speech therapy were offered or what the team said about extended school year. Use it to draft the follow-up letter that asks the school to confirm what was discussed.

Why notes from IEP meetings fall short

Two hours of acronyms is hard to write down while you are also advocating.

✗ Handwritten notes and memory

A parent taking notes has to listen, respond and write at once, and something always slips.

  • Service minutes noted wrong or not at all
  • No record of who offered what
  • Acronyms written down without meaning
  • A two-hour recording nobody replays
  • Questions you meant to follow up on, lost
  • The school's summary as the only version

✓ The whole meeting, searchable

The recording comes back as text with a brief, chapters and the numbers and dates that were said.

  • Two hours of IEP talk ready in about 4 minutes
  • Chapters for goals, services and placement
  • Teachers, therapists and parents named in the summary
  • Dates and service minutes pulled out
  • DOCX for your binder, TXT for email
  • A year of four meetings on the $6 pack

00:06:12 We'll start with present levels, then go through each goal, and leave the last half hour for services and placement.
00:41:30 I'm proposing we move from thirty to forty-five minutes a week, split into two sessions.
00:42:05 Is that forty-five starting this month, or after the winter break?
00:42:20 Starting the week of the eighteenth, if everyone agrees today.
01:51:47 Before we sign, can we go back to the reading assessment? I'd like a date for that in writing.

FAQ

IEP meeting recordings, answered.

How long does a 2-hour IEP meeting take to transcribe?

About 4 minutes, at roughly 2 minutes of work per hour of audio. A 90-minute review meeting is ready in about 3.

What does a school year of IEP meetings cost?

A single 2-hour meeting is 120 minutes and sits inside the $6 pack of 500 minutes. The annual meeting plus three 2-hour reviews totals 480 minutes, still on that one pack. A family with two children on IEPs, or an advocate working with several families, will want the $12 pack of 2,000 minutes. Anyone new to WhipScribe starts with the first 20 minutes free.

Is it all right to record an IEP meeting?

That depends on your district's policy, and many districts ask for notice in advance. Ask the school what it requires before the meeting and follow it. WhipScribe only works with a recording you already have; it does not join or record the meeting.

Will a long or large recording need cutting up?

No. One file can run up to 10 hours or 5 GB, and before your first pack it can be up to 2 GB. An IEP meeting of any realistic length goes in whole, with one clock from start to finish.

Our meeting was partly in Spanish with an interpreter. Will that work?

Yes. 99 languages are detected automatically, so a meeting held mostly in Spanish comes back in Spanish, and one that switches between English and Spanish is detected on its main language with the switches handled.

Which downloads are there, and who can see the recording?

Five: TXT, DOCX, SRT, VTT and JSON. IEP recordings are transcribed on our own servers and are never used for training, and you can delete the file and transcript whenever you want.
