Transcribe long Zoom and Teams meetings from the recording, not with a bot.
A long Zoom or Teams meeting in the UK often runs 2 to 3 hours, and WhipScribe transcribes the recording file afterwards in about 6 minutes, with no bot joining the call. A 150-minute meeting uses 150 minutes of a $6 pack of 500, so three such meetings fit on one pack, and the first 20 minutes are free.
After the call ends
The meeting is over; the record of it takes six minutes.
Nothing joins the call
Some attendees object to a note-taking bot appearing in the participant list, and some organisations block them. This works on the file the meeting already produced, after the fact, so the meeting itself is untouched.
Getting the file out of Zoom or Teams
Zoom saves an MP4 for the video and an M4A for the audio; either one uploads. A Teams recording needs to be downloaded first from wherever your organisation stores it, then dropped here. The audio-only M4A is the smaller and faster file to send. upload page
Decisions and owners, not just words
A three-hour steering meeting is about twenty-seven thousand words. The brief pulls out what was agreed, who took each action and the dates mentioned, and the chapters mark each agenda item so the minutes write themselves in an order people recognise.
Priced per meeting minute
Two and a half hours is 150 minutes. Three meetings of that length use 450 of the 500 minutes in a $6 pack. A team that records every week can look at the $19 Workspace instead; occasional long meetings are cheaper on packs.
Why long meetings defeat the built-in tools
Built-in captions are written for following along live, not for minutes.
✗ Live captions and bots
Meeting-platform captions and bots help in the moment, but the text they leave behind is hard to turn into minutes.
- A bot that some guests refuse to admit
- Caption text with no structure
- Notes that stop when the host's licence runs out
- No list of actions and owners
- A three-hour video no one rewatches
- Typing minutes from memory the next day
✓ The recording, afterwards
The file goes in once the call ends and comes back structured by agenda item.
- No bot, no participant list change
- Six minutes or so for a 3-hour call
- Brief with decisions, owners and dates
- Chapters per agenda item
- Chat that answers what was agreed
- DOCX to draft the minutes

FAQ
Long meeting recordings, the common questions.
How long does a 3-hour meeting take to transcribe?
About 6 minutes. The rate is roughly 2 minutes per hour of audio, so a 2-hour meeting takes about 4.
What does a 3-hour meeting cost?
180 minutes from a $6 pack of 500 minutes, leaving 320 for the next two. If your team holds more than ten long meetings a month, the $12 pack of 2,000 minutes holds them at $0.36 an audio hour.
The Zoom MP4 is over 1 GB. Is that a problem?
No. Files up to 2 GB upload before any pack; after the first pack, up to 5 GB and 10 hours per file. The M4A audio file Zoom also saves is much smaller and transcribes the same.
Does a bot need to join the meeting?
No. Nothing joins a live call. You upload the recording once the meeting ends, which also means it works for meetings held on any platform that gives you a file.
Some attendees spoke Welsh or switched languages. Will that work?
The language is detected automatically from the main language spoken, out of 99. A meeting held in Welsh comes back in Welsh; short asides in another language follow the main language of the recording.
Who can see the recording, and which exports are there?
Recordings are transcribed on our own servers and are never used for training. The export list is TXT, DOCX, SRT, VTT and JSON. DOCX is the usual starting point for minutes.
