Transcribe meetings recorded in a sports clubhouse the AGM and every committee night.
A clubhouse AGM of two and a half hours comes back as text in about 5 minutes, and a 90-minute committee meeting in about 3. The first 20 minutes are free, and a year of eleven committee meetings plus the AGM, 1,170 minutes, fits the $12 pack of 2,000.
What a clubhouse does to a recording
A bar shutter, a TV on mute that is not quite muted, and thirty members on plastic chairs.
Phone in the middle of the table
Most club meetings are recorded on a phone or small recorder set among the papers. That catches the committee well and the back of the room less well, so ask members who speak from the floor to come forward or wait for the roving mic. Glasses, the bar and a match on the TV are background; the speech model follows the voices.
Members on a video call
Hybrid AGMs often add members by Zoom or Teams. Download the platform's recording when the meeting ends and upload it here; nothing joins the call. Tell everyone at the start that the meeting is being recorded, as the law where you are may require consent.
Figures the treasurer read out
Every recording returns a brief, chapters with timestamps, the names, numbers and dates said, and the questions the meeting answered. Subscription rates, ground-hire costs, election results and the date of the next meeting land in one list, and officers are named in the summary and chapters.
A club year, priced
Eleven committee meetings of 90 minutes come to 990 minutes; add a 180-minute AGM and the year is 1,170. The $12 pack of 2,000 covers that with 830 minutes left. A club that only records its AGM uses the free 20 minutes and a $6 pack of 500.
Why the minutes take a week
The secretary was also chairing the bar rota debate. Nobody took notes.
✗ Writing minutes from memory
Volunteers rebuild a long meeting from scribbles, and the exact wording of a motion is the part that goes missing.
- Motions written down wrongly
- A treasurer's figures half-remembered
- An evening replaying the recording
- Members disputing what was agreed
- Free apps that stop after a few minutes
- A subscription for a monthly meeting
✓ Draft minutes from the recording
Upload after the meeting and draft the minutes the same evening from text and chapters.
- Each motion found by its timestamp
- Figures listed in the brief
- Officers' reports as chapters
- AGM questions from the floor kept
- Minutes drafted in DOCX
- $12 for the whole club year

FAQ
Clubhouse meeting recordings, answered.
How long does an AGM take to transcribe?
At about 2 minutes per hour of audio, a two-and-a-half-hour AGM is ready in around 5 minutes and a 90-minute committee meeting in about 3.
What does a single AGM cost?
A 150-minute AGM uses the 20 free minutes a new account gets, and a $6 pack of 500 minutes transcribes the remaining 130 from where the preview ended. The 370 minutes left cover four committee meetings, and credits never expire.
Is a transcript the same as minutes?
No. The transcript is a working draft that makes writing minutes quicker. The minutes your committee approves remain the club's record, and the timestamps let anyone check a disputed line against the audio.
Our recording is from a camcorder and it is big.
A single file may run to 10 hours or 5 GB. Before the first pack, files up to 2 GB start at once, and a larger one begins after a pack is on the account. The box on this page takes up to 500 MB; bigger files continue on the main upload page.
Can it tell the chair from the treasurer?
Speakers are identified and named in the summary, key quotes and chapters when they are introduced or named by the chair. The transcript itself reads as continuous text with timestamps.
Where does the recording go?
Recordings are transcribed on our own servers and are never used for training. Exports come as TXT, DOCX, SRT, VTT and JSON, and the recording can be deleted when the minutes are approved.
