Transcribe a 3-hour AGM and draft the minutes from the record, not from memory.
A 3-hour annual general meeting is 180 minutes of reports, motions and questions from members, and it comes back as timestamped text in about 6 minutes; a phone or recorder file is about 170 MB as an MP3, and a hybrid meeting saved from Zoom or Teams is usually under 1.5 GB. The first 20 minutes are free, and a $6 pack of 500 minutes covers the AGM with at least 320 minutes left for the year's committee meetings.
For the secretary and the board
The annual meeting, item by item, with every figure and every vote on the page.
Agenda items as chapters
Apologies, the previous minutes, the chair's report, the accounts, elections, motions, any other business. Timestamped chapters follow the agenda as it was actually taken, so the secretary can jump to the treasurer's answer on reserves without replaying the first hour.
Figures and votes collected
The brief lists the names, numbers and dates that were said: the budget total, the fee proposal, the count for and against, the date of the next meeting. Each comes with a timestamp, so it can be checked against the recording before it goes into the minutes.
How AGMs get recorded
Companies, charities, clubs, co-ops and residents' associations record in different ways: a hybrid Zoom or Teams meeting, a livestream for remote members on YouTube, or a phone on the head table. Upload the file, or paste a YouTube, Vimeo or Google Drive link.
A draft to work from
This is a transcript to write the minutes from, not the minutes themselves: the secretary still decides what the record says. The chair and the members who spoke are named in the summary, key quotes and chapters, which saves the hardest part of the draft.
Why AGM minutes run late
Three hours of procedure, and the secretary has a notepad.
✗ Minutes from notes
Handwritten notes miss the exact wording of a motion and the number in a heated answer.
- Exact motion wording reconstructed later
- Vote counts noted in a hurry
- Questions from the floor summarised badly
- Hours of replay to check one figure
- Minutes circulated weeks later
- Disputes about what was actually said
✓ Minutes from the record
The meeting comes back as text with agenda chapters and every figure listed before the venue is locked up.
- About 6 minutes for a three-hour AGM
- Chapters along the agenda
- Motions and counts in the brief
- Speakers named in the summary
- DOCX straight into the minutes template
- 320 minutes or more kept for next time

FAQ
Three-hour AGMs: practical questions.
How long does a 3-hour AGM take to transcribe?
About 6 minutes, because processing runs at roughly 2 minutes per hour of audio. The secretary can have the text before the post-meeting drinks are finished.
Which pack covers the AGM and the rest of the year?
The AGM uses 180 minutes of the $6 pack of 500, after the first 20 come free, which leaves at least 320 minutes: eight 40-minute committee meetings. A board that also records ten monthly two-hour meetings, 1,200 more minutes, fits the $12 pack of 2,000 alongside the AGM.
We recorded the hybrid meeting in Zoom. Which file do I upload?
Either the MP4 or the audio-only M4A Zoom saved. The audio file is smaller and transcribes the same speech. Files up to 2 GB upload before a pack; up to 5 GB after one.
Is the transcript our official minutes?
No. It is an AI transcript with timestamps to work from; the minutes remain the document your secretary writes and your members approve. It is not legal advice about how your meeting must be run.
Can it handle the AGM and a special general meeting straight after?
Yes. One file can be up to 10 hours or 5 GB, so two meetings back to back fit in one recording. Splitting them into two files gives each meeting its own brief and chapters, which is usually cleaner for the records.
What happens to members' voices?
We transcribe recordings on our own servers, and they are never used for training. Delete the file and transcript once the minutes are approved if your policy asks for it.
