Transcribe a Teams town hall for everyone who could not attend.
A Microsoft Teams town hall or live event recording, downloaded by the organiser, uploads here as a file, and a 2-hour all-hands comes back as text in about 4 minutes. The first 20 minutes are free, and four 2-hour town halls a year come to 480 minutes, inside the $6 pack of 500.
One recording, the whole company
Thousands attended live. The people in other time zones need the text.
The organiser has the file
In Teams town halls and live events, the organiser or a producer can usually download the recording after the event, typically as an MP4. Attendees see a replay but often cannot download it, so the request starts with the organiser.
Text before the replay email
At roughly 2 minutes per hour of audio, the CEO update, the department segments and the Q&A are text before the replay link is even sent out.
The arithmetic for a size
A 2-hour video at around 2 megabits a second is 2 × 7,200 = 14,400 megabits, about 1.8 GB, just under the 2 GB that uploads before a pack. A sharper encode that goes over 2 GB starts once a pack is on the account, and every file can be up to 5 GB.
Recap, FAQ and captions
Chapters follow the running order, the brief pulls out the announcements, and the questions the session answered can become an internal FAQ. SRT or VTT captions go back onto the replay.
After the town hall
The replay gets a fraction of the live audience. Text travels further.
✗ A replay link in an email
Two hours of video sent to people in every time zone, most of whom will not press play.
- Announcements paraphrased by managers
- Questions from the typed Q&A answered aloud and lost
- A recap written over several days
- No captions for colleagues who read faster
- Hard to quote the exact wording of a change
- Nothing written for colleagues on leave that week
✓ The town hall as a document
The full session in text, with the announcements already listed.
- Two town hall hours, about 4 minutes to text
- First 20 minutes free
- $6 for 500 minutes, held until the next all-hands
- Leaders named in the summary and key quotes
- A chapter per segment, plus one for the Q&A
- SRT and VTT to caption the all-hands replay

FAQ
Teams town halls and live events, answered.
How long does a town hall take to transcribe?
About 2 minutes per hour of audio: a 90-minute live event in about 3 minutes, a 2-hour town hall in about 4.
What does a year of town halls cost?
Four quarterly town halls of 2 hours are 480 minutes, which the $6 pack of 500 covers with 20 left over, after the first 20 minutes free. Monthly 2-hour sessions come to 1,440 minutes a year and suit the $12 pack of 2,000.
Do the typed Q&A questions appear in the transcript?
Only if someone reads them aloud. The transcript is the speech in the recording; a moderator reading each question before it is answered puts the question into the text as well.
Does WhipScribe join the broadcast?
No. No bot joins a live call and there is no Teams integration. The organiser downloads the finished recording and uploads it here.
How big can the file be, and when do I split it?
A town hall file can be up to 10 hours or 5 GB. A town hall never comes close to 10 hours, so splitting is only needed if a whole-day event is recorded as one file longer than that.
Which languages, and which exports?
99 languages are detected automatically, so a regional town hall in Portuguese or Japanese needs no setting. The town hall exports as TXT, DOCX, SRT, VTT and JSON. Recordings are transcribed on our own servers and are never used for training.
