Webinars, not meetings

A Zoom Webinar is a panel in front of an audience. The text should read like one.

Pick the M4A if you can

Cloud recordings usually offer the video as MP4 and an audio-only M4A. The M4A is a fraction of the size and carries the same speech, so it uploads faster. A local recording lands in the Zoom folder on the host's computer, usually inside Documents.

Size, worked out

Audio at 128 kilobits a second is 128 × 3,600 ÷ 8 = 57,600 kilobytes, about 58 MB per hour, so even a 3-hour M4A at that rate stays under 200 MB. Video is larger, but one file can be up to 5 GB.

Four minutes, then the follow-up

About 2 minutes per hour of audio puts a 2-hour panel in your hands in roughly 4 minutes, early enough to write the follow-up email the same day.

Panel answers in writing

Chapters separate the presentations from the Q&A, the brief lists the takeaways, and each panelist is named in the summary and key quotes. Upload on upload page and the questions the webinar answered come listed.

The usual replay

The on-demand page gets the video. Nobody gets the answers in writing.

✗ Video on a page

A registration-gated replay and a recap written from slides.

  • Panel answers paraphrased in the recap
  • Product names misspelled in auto-captions
  • The Q&A buried in the last half hour
  • Live captions that were never saved
  • A subscription for a monthly webinar
  • A recap posted a week later

✓ The webinar as text

Every panelist's answer, searchable and quotable.

  • Two webinar hours as text in about 4 minutes
  • First 20 minutes free
  • $6 for 500 minutes, keeps forever
  • Every panelist named in the summary and the quotes
  • Audience questions in their own chapter
  • SRT and VTT for the on-demand webinar page

01:20:40 We tracked time to first response every week for a quarter, before and after, on the same team.
01:21:22 We did something similar, but we also asked customers one question at the end of each ticket.

FAQ

Zoom Webinar recordings, answered.

How long does a Zoom webinar take to transcribe?

Expect about 2 minutes for every hour of webinar audio. A 1-hour webinar takes about 2 minutes, a 2-hour panel about 4.

What does a 2-hour webinar cost?

120 minutes. The first 20 minutes are free for a first-time visitor, and the $6 pack of 500 minutes covers the rest with at least 380 left. A monthly 2-hour webinar series is 1,440 minutes a year, a fit for the $12 pack of 2,000.

MP4 or M4A: which Zoom file should I upload?

Either works. The M4A is smaller and uploads faster; the MP4 is useful if you also want captions timed to the video you publish. Both carry the same speech.

Can I paste the Zoom share link?

No, a Zoom share link is not one of the links WhipScribe fetches. Download the recording, or, if the webinar is also published on YouTube or Vimeo, paste that link. There is no Zoom integration and no bot.

What about very long or very large files?

A Zoom webinar file can be up to 10 hours or 5 GB. Uploads up to 2 GB go through before the first pack; a bigger MP4 starts once a pack is on the account. A recording over 10 hours is uploaded as two files.

Which languages, and is the recording private?

99 languages are detected automatically, Korean, Spanish and Hebrew among them. The webinar exports to TXT, DOCX, SRT, VTT and JSON. Recordings are transcribed on our own servers and are never used for training.
