From a long meeting to usable minutes

Three hours of discussion, ready for the secretary by the next morning.

The language people actually use

Association meetings drift between Tagalog for the heated parts and English for the motions. The recording is detected on its main language, and English and Tagalog switches in one meeting are handled, so the officer reports and the open floor are both in the text.

Every number in one place

The list of names, numbers and dates said pulls out the treasurer's balances, the hall booking date and the ticket prices for the next event. Speakers are named in the summary and chapters when they are introduced or call each other by name.

Phone, recorder or Zoom

Meetings in a parish hall are often recorded on a phone in the middle of the table; online ones come out of Zoom or Google Meet as a file. Either goes into upload page, up to 10 hours or 5 GB per file.

A draft of the minutes, not a blank page

Chapters follow the agenda, the brief lists the decisions and takeaways, and the chat answers questions like what was agreed about the fiesta budget, with the timestamp to check. The secretary edits a draft instead of replaying three hours.

Why meeting minutes fall behind

A volunteer secretary cannot replay three hours of Taglish every month.

✗ Minutes from memory

Without a transcript, the minutes rely on notes scribbled while chairing or speaking.

  • Motions recorded without the exact wording
  • Figures misremembered a month later
  • English-only tools lost on Tagalog
  • Free tiers that stop in the first hour
  • Members who missed it hear rumours
  • No record to settle disagreements

✓ Minutes from the recording

The whole meeting is searchable, so a disputed point can be checked against what was actually said.

  • Around 6 minutes for a three-hour meeting
  • Tagalog and English both kept
  • Numbers and dates listed
  • Chapters in agenda order
  • Timestamps to settle questions
  • Credits that last between meetings

FAQ

Tagalog meetings in Canada, the common questions.

How long does a three-hour meeting take to transcribe?

About 6 minutes, at near 2 minutes per hour of audio. A two-hour meeting usually takes around 4.

What does a year of monthly meetings cost?

Twelve meetings of 2.5 hours are 1,800 minutes, which fits the $12 pack of 2,000 minutes at about $0.36 an audio hour. If the meetings run a full three hours, twelve of them come to 2,160 minutes, which needs the $24 pack of 5,000 minutes; leftover credits never expire.

How big a file can I upload?

The cap is 10 hours or 5 GB for each file. A three-hour phone recording in M4A at 128 kbps is about 173 MB (128 kbps times 10,800 seconds), far under the 2 GB that uploads reach before the first pack. A three-hour Zoom video can be larger; a file over 2 GB starts once a pack is on the account.

Does it handle Tagalog, English and Taglish?

Yes. Tagalog (Filipino) is one of 99 languages detected automatically, and English and Tagalog switches in one recording are handled. Members who speak Cebuano or Ilocano are transcribed with lower accuracy, so check their parts against the audio before the minutes are approved.

What formats come back, and who can hear the meeting recording?

The secretary can export TXT, DOCX, SRT, VTT and JSON, for the minutes and the records. Association recordings are transcribed on our own servers and are never used for training. Delete the recording after the minutes are approved if your association prefers not to keep it.

Does the transcript replace the association's minutes?

It is a working draft. The secretary still writes the minutes in the association's usual format and the members approve them; the transcript makes that faster and gives a timestamp to check any disputed point.
