Transcribe an offsite recording and leave with the decisions written down.
Your offsite meeting recording runs most of a day, and the transcript has to show what was decided and who owns it. One file holds up to 10 hours, a 7-hour day takes about 14 minutes, and the brief lists the names, numbers and dates that were said.
Why offsites lose their decisions
By the following Tuesday, nobody agrees on what was agreed.
The whole day as one file
An offsite recorded on one laptop or one room microphone from the opening to the wrap-up goes up as it is, up to 10 hours or 5 GB. Recorded the morning and afternoon separately? Upload the two files.
Agenda blocks become chapters
Strategy, the budget session, the hiring plan, the open floor: chapters with timestamps follow how the day actually ran, which is rarely how the agenda said it would.
Decisions, owners, dates
The brief sets out the thesis and takeaways and lists the names, numbers and dates spoken aloud. "Priya owns the pricing review, due end of November" is the kind of line you find there instead of in someone's notebook.
Settle a disagreement with the audio
When two people remember the decision differently, ask the chat over the transcript, read the passage, and open the recording at that timestamp.
The week after
A full day of discussion, and three bullet points in the follow-up email.
✗ Relying on the facilitator's notes
One person wrote while everyone else talked, for seven hours.
- A note-taker who could not join the discussion
- Owners assigned verbally and never written down
- The afternoon session thinly covered
- Numbers from the budget block rounded in memory
- A recording nobody will sit through again
- Transcription tools that stop at an hour or two
✓ Relying on the transcript
Everyone took part, and the day is on record.
- Chapters for each agenda block as it ran
- Owners and deadlines in the brief
- The afternoon covered as well as the morning
- Figures exactly as stated in the room
- A chat that answers "what did we decide on hiring"
- One file for a day of up to 10 hours
Sample output
Hour six, when the decisions finally land.
An illustrative passage written for this page, not a real offsite. Late-day sessions are where owners get named, and this is what that part looks like in the transcript.

FAQ
Offsite recordings, answered.
How long does a full offsite day take to transcribe?
About 2 minutes per hour of audio, so a 7-hour day is ready in around 14 minutes once uploaded. A two-day offsite recorded as two files runs both at once.
What does a two-day offsite cost?
Two days of seven hours are 840 minutes, which sits on the $12 pack of 2,000 minutes. A single 7-hour day is 420 minutes and fits the $6 pack of 500. A first-time visitor gets the first 20 minutes free, and the pack transcribes the rest from where that preview stopped.
The room recording is a large video. Can it go up?
Files up to 5 GB are accepted. Before any pack is bought, uploads go up to 2 GB, and a bigger file starts as soon as a pack is on the account. If the video sits in Google Drive, paste the share link and skip the upload.
The recorder ran for eleven hours. What happens?
The ceiling is 10 hours per file, so an 11-hour recording goes up as two files. Most recording apps can save it in two parts, or you can stop and restart at the lunch break next time.
Half our team speaks Dutch in the breakouts. Is that handled?
Languages are detected automatically from 99, so mixed sessions need no setting. The summary, key quotes and chapters identify and name the people speaking.
What formats can I send round, and is the strategy talk kept private?
TXT, DOCX, SRT, VTT and JSON are all available, and DOCX is easiest to circulate. Recordings are transcribed on our own servers and are never used for training, so plans discussed at an offsite stay with your team.
