Answer

How do I make a Google Drive file private again after sharing it?

Open the file in Google Drive, choose Share, and under General access change Anyone with the link back to Restricted, then click Done. The link you shared stops working for everyone you have not added by name. A WhipScribe transcript that is already finished is not affected and stays in your Library.

When to change it back

WhipScribe only needs the link while it fetches the recording. As soon as the transcript appears, you can set the file back to Restricted.

If you do not want to open the file to the public even for a few minutes, import it from Drive instead: Library → Add content → Google Drive reads the files you pick through your own Google sign-in and never changes their sharing.

Check who still has access

Restricted means only the people listed at the top of the Share window can open the file. Remove anyone there who should not have it, using the role menu next to their name.

If the file sits in a shared folder, the folder's sharing applies to it too. Check the folder's Share settings as well.

Removing the recording from WhipScribe

Making the Drive file private does not delete anything in WhipScribe. To remove the transcript and its recording, delete it from your Library. Deleted items stay in Trash for 24 hours so a mistake can be undone, then they are removed for good.

How to do it

  1. Open drive.google.com and find the file.
  2. Right-click it and choose Share, then Share again.
  3. Under General access, change Anyone with the link to Restricted.
  4. Click Done.
  5. On a phone: tap the three dots next to the file, then Share or Manage access, then under General access tap Change and choose Restricted.

No. A finished transcript is kept in your WhipScribe Library whatever you do with the Drive file.

Does the old link still work after I set it to Restricted?

Only for people you have added by name. Everyone else, including WhipScribe, gets Google's sign-in page.
