Teams in SharePoint · download, then upload

How to transcribe a long Teams recording from SharePoint download the MP4 once, then hand it over.

To transcribe a long Teams recording stored in SharePoint, download the MP4 from the channel's Recordings folder and upload it here, because SharePoint links sit behind your organisation's sign-in and are not fetched; a 3-hour channel meeting is then text in about 6 minutes. One file can be up to 10 hours or 5 GB (2 GB before the first pack), the first 20 minutes are free, and 180 minutes fit the $6 pack of 500.

Packs from $6, credits never expire · then from $0.36/hour · Credits never expire · Never used to train AI
✓MP4 straight from SharePoint · ✓About 6 minutes for 3 hours · ✓First 20 minutes free · ✓Never used for training

The route, step by step

From the channel's document library to a meeting you can search.

Find the file

In Teams, open the channel, then its Files tab, or go to the channel's SharePoint site and open Documents. Recordings of channel meetings are kept in a Recordings folder there, named with the meeting title and date. The meeting chat also links to the recording.

Download, not share

Select the recording and choose Download from the toolbar or the three-dot menu. Copying a share link will not help here: it opens a sign-in page for your organisation, not the media file. If Download is missing, the recording is view-only for you; ask whoever owns it for a copy.

Large MP4s

Long Teams recordings with screen sharing can be big. Up to 2 GB uploads before a pack; between 2 and 5 GB starts once a pack is on the account, through the upload page. To skip the wait, keep only the sound: three hours of 128 kbps audio is about 173 MB.

What the team gets back

A brief with the decisions and takeaways, chapters with timestamps, the names, numbers and dates mentioned, and the questions the meeting answered. Speakers are named in the summary, key quotes and chapters, which is usually enough to write minutes without replaying the meeting.

After a long channel meeting

Replaying it in the browser versus reading it once.

✗ Scrubbing the recording in SharePoint

Watching for the moment someone agreed to a date.

  • Three hours of playback for one decision
  • Notes that miss what was said off-screen
  • Minutes written days later from memory
  • Colleagues asking for the bit they missed
  • No text to search across meetings
  • A link that only works inside the organisation

✓ Uploading the downloaded MP4

One file in, a searchable meeting back.

  • One download, one upload
  • About 6 minutes for three hours
  • Chapters by agenda item
  • Decisions and figures pulled out
  • TXT or DOCX to share as minutes
  • 180 minutes from the $6 pack

Sample output

A long channel meeting, after the upload.

Illustrative only, not a real recording: four lines from a long project channel meeting downloaded from SharePoint.

00:02:33 I will share my screen. This is the plan we agreed last month, with the changes in red.
00:58:10 The migration is two weeks behind, mostly because the test environment was not ready.
01:47:52 Can we agree that anything not tested by the twentieth moves to the next release?
02:54:06 Thanks all. I will post the action list in the channel this afternoon.

FAQ

Questions about Teams recordings in SharePoint.

Why can't I paste the SharePoint link?

SharePoint links require your organisation's sign-in, so they lead to a login page rather than to the recording. Download the MP4 and upload the file; nothing needs to connect to your Microsoft account.

Where are Teams channel recordings saved?

In the channel's SharePoint site, normally in a Recordings folder within its document library. Recordings of ordinary meetings outside a channel usually go to the organiser's OneDrive instead.

Does anything join our Teams meetings?

No. No bot joins a live call. WhipScribe works on the recording afterwards, once you have downloaded it.

How long does a long Teams recording take?

Roughly 2 minutes for each hour of audio. A 3-hour meeting takes around 6 minutes; a full 7-hour workshop takes around 14.

What does a month of channel meetings cost?

Four weekly 2-hour meetings are 480 minutes and fit the $6 pack of 500. A quarter of weekly 2-hour meetings, 13 of them, is 1,560 minutes and fits the $12 pack of 2,000 minutes. Your first 20 minutes cost nothing, and unused credits stay on the account.

Is it private, and which exports?

Recordings are transcribed on our own servers and are never used for training. Exports come as TXT, DOCX, SRT, VTT and JSON, and 99 languages are detected automatically.
