Transcription for virtual assistants so minutes go out the same afternoon.
A virtual assistant can turn a client's 1-hour meeting recording into text, chapters and a list of action items in about 2 minutes, at roughly 2 minutes of processing per audio hour. Three clients with a weekly 1-hour meeting each is 720 minutes a month, which fits the $18 pack of 3,000 minutes, and every recording starts with a free preview of its opening minutes.
From the client's recording to the minutes
Send the follow-up while the meeting is still fresh for everyone in it.
What clients send a VA
Weekly team meetings, calls with the client's own customers, podcast or webinar recordings that need show notes, planning sessions and the long voice memos some clients record instead of writing. Most arrive as a cloud recording link, a Drive share, or a file sent over chat.
Getting the recording in
Paste a Google Drive share link the client gave you, if the sharing setting lets anyone with the link view it, or download the file and upload it. The box here takes up to 500 MB; a larger file continues on upload page, up to 10 hours or 5 GB. A webinar on YouTube or Vimeo pastes in as a link.
Three clients, one pack
Packs start at $4 for 300 minutes, and credits never expire.
What comes back for the minutes
A brief with the purpose of the meeting and its takeaways, chapters with timestamps for each agenda item, the names, dates and figures mentioned, and the questions raised. Attendees are named in the summary and key quotes. Ask the chat to list every task assigned and who it went to, then check each against the transcript.
Why rewatching meetings eats the day
Watching a client's meeting at normal speed is an hour you could bill for something else.
✗ Minutes by replay
You play the recording back, pausing to type, and the minutes go out the next morning.
- An hour of replay for an hour of meeting
- Deadlines heard but not written down
- Names spelled from guesswork
- Minutes that arrive a day late
- Several clients' meetings stacking up
- Nothing searchable when a client asks later
✓ The meeting as text
Read the meeting, pull the tasks, and send the follow-up the same day.
- A 1-hour meeting readable about 2 minutes later
- Tasks and dates listed in the brief
- Names checked against what was said
- Minutes in DOCX within the hour
- Each client's meetings searchable later
- Time back for billable work

FAQ
Questions virtual assistants ask.
Should I ask the client before uploading their recordings?
Yes, and that is the caution that matters most for a VA: the recording belongs to the client and often includes their team or customers. Get a clear yes to using a transcription service, and if a call with outsiders is recorded, the consent the law where they are requires is the client's to collect at the start.
Whose account should the credits be on?
Credits live on the account that bought them and never expire. Some VAs buy a pack and include it in their invoice; others have the client buy one and share access. Either way the price is the same one-time pack.
What will a month of client meetings cost?
The opening minutes of every recording are a free preview. Packs start at $4 for 300 minutes, and credits never expire. Several clients fit the $18 pack of 3,000; a busy roster or long workshops fit the $32 pack of 6,000.
The client's Drive link will not paste. Why?
Usually the file is shared only with named people. Ask the client to set it so anyone with the link can view, or download it with your own access and upload the file instead.
Can I make the minutes straight from the transcript?
Use the brief and chapters as the skeleton, export DOCX, and edit it into the client's minutes format. Read each action item against the transcript before sending, since a 'maybe' in conversation should not become a deadline on paper.
Who else can see the client's meetings?
Only the account that uploaded them. Recordings are transcribed on our own servers, never used for training, and can be deleted with their transcripts whenever the client asks.
