Transcribe a 2-hour workshop and keep what the room actually agreed.

A 2-hour workshop recording turns into text with chapters and a list of decisions in about 4 minutes; each hour of audio takes around 2 minutes. The file is typically 100 MB as audio or under 1 GB as a call recording, inside the 2 GB allowed before a pack, and after the first 20 minutes free the $6 pack of 500 minutes covers it with 380 minutes to spare.

Two hours of working together

The sticky notes get photographed. The conversation usually gets lost.

Report-backs as chapters

Workshops alternate between framing, group work and reporting back. Each report-back becomes a chapter with its start time, and the facilitator and the people who spoke are named in the summary, the key quotes and the chapters.

Breakouts, one file each

If breakout rooms were recorded separately, upload each one; the main room and each group keep their own brief. A main room of 2 hours plus three 30-minute breakouts is 210 minutes, still well inside the $6 pack.

Decisions and next steps

The brief lists what was decided, the dates mentioned and who took an action, each tied to its timestamp. That turns into a follow-up email faster than reading the whole transcript, and the chat over the transcript answers questions like which option the group rejected and why.

From the room or the call

An in-person workshop is often captured on a phone or a room microphone as M4A or WAV; a remote one comes from Zoom, Teams or Meet as MP4. Drop it in the box above, use upload page for a bigger video, or paste a Google Drive link if the recording was shared that way. A whiteboard photo plus the transcript makes a complete record of the session.

Why workshop outcomes drift

Two hours later, everyone remembers a slightly different agreement.

✗ After the workshop

The facilitator writes the summary from the whiteboard photos and memory.

  • Decisions without the reasoning behind them
  • Actions with no owner attached
  • A great idea from a quiet participant, forgotten
  • Breakout discussions nobody captured
  • A summary that takes half a day to write
  • Recordings that sit unopened in a shared folder

✓ With the transcript

The workshop becomes a record everyone can check.

  • Text in about 4 minutes
  • Each exercise and report-back as a chapter
  • Decisions and owners listed
  • Quotes you can use in the write-up
  • Each breakout as its own file
  • Exports for the shared folder

01:05:18 Group two, what did you land on for the onboarding problem?
01:05:26 We think the first week is too crowded. We would move the systems training to week two.
01:05:49 And we would give every new starter one named person to ask, for the first month.
01:06:12 Good. Let us mark that as a decision and find an owner before the break.
01:06:30 I can take it and bring a draft plan to the team meeting on the fourteenth.

FAQ

2-hour workshops, the common questions.

How long does a 2-hour workshop take?

Around 4 minutes at about 2 minutes per hour of audio. Separate breakout files are processed the same way, in parallel.

What does it cost to transcribe a year of workshops?

One workshop uses 120 minutes of the $6 pack. A team that runs one 2-hour workshop a month uses 1,440 minutes a year, which the $12 pack of 2,000 minutes covers with 560 left. Credits never expire.

The room was noisy. What comes through?

Speech that the microphone picked up clearly is transcribed; laughter, chair noise and background music are not. Several people talking at once can lose words, and the timestamps let you listen back to that moment.

What if the workshop video is larger than 2 GB?

Files over 2 GB start once a pack is on the account, up to 5 GB per file. Exporting only the audio is also an option and makes a two-hour file around 115 MB.

Can I transcribe a full-day workshop in one go?

Yes, up to 10 hours in one file. If the day was recorded continuously for longer, split it into two files.

Is the recording used for anything else?

No. Recordings are transcribed on our own servers and are never used for training, and you can delete them when the project ends.
