Transcribe board meetings and AGMs for a Canadian organization.
A board meeting or AGM in Canada can run two to five hours, and the record has to get the decisions and the figures right. Upload the recording: five hours comes back in about 10 minutes with the resolutions, amounts and dates listed, and the first 20 minutes are free.
What the secretary gets
Every motion and every number, with the time it was said.
Decisions up front
The brief opens with what the board decided and the points that were argued before each vote. That is the skeleton of the minutes, written before anyone has replayed a second of audio.
The figures, in one place
Audited totals, the dues increase, the date of the next meeting and the names put forward for election are pulled into a list of the numbers, names and dates that were said, each linked to its moment.
Agenda order, kept
Chapters follow the meeting as it ran: call to order, approval of the previous minutes, the treasurer’s report, elections, new business. A director who missed the meeting can read the one item they care about.
An AGM in one file
Annual meetings with a members’ question period run long. Up to 10 hours and 5 GB go in as one file, and before a first pack a file can be up to 2 GB. upload page
Why minutes take a week
The recording is complete; the notes from the room rarely are.
✗ Notes and a replay
Secretaries often take shorthand in the room and then listen back to confirm the wording of motions.
- A motion recorded with the wrong mover
- Figures from the treasurer’s report misheard
- An hour of member questions summarised in one line
- Replaying the AGM to find the election results
- A meeting tool that only keeps short recordings
- A draft that circulates weeks after the meeting
✓ A searchable record
One upload, and the board has text it can check against the audio by the minute.
- About 2 minutes per hour of recording
- Speakers named in the summary and quotes
- Each resolution findable by its timestamp
- A chat that answers who seconded the budget motion
- DOCX to edit into minutes
- Delete the recording whenever the board decides

FAQ
Board meetings and AGMs, the common questions.
How long does a 5-hour AGM take to transcribe?
Close to 10 minutes, because each hour of audio takes about 2. A two-hour board meeting is ready in about 4.
What do a year of board meetings cost?
Four quarterly meetings of three hours each are 720 minutes, so the $12 pack of 2,000 minutes covers the year with plenty to spare for the AGM. One five-hour AGM alone is 300 minutes, which fits the $6 pack of 500 minutes. Prices are in US dollars; credits never expire.
Does this replace the official minutes?
No. The transcript and brief are a working draft and a record to check against; the minutes the board approves remain the secretary’s document.
What if the meeting video is over 2 GB?
A file of up to 5 GB and 10 hours is accepted once a pack is on the account; before the first pack the limit is 2 GB. Exporting only the audio usually brings a long video well under that.
Our members speak French and English. How is that handled?
The recording is detected on its main language among 99. If a meeting switches between English and French, the passages in the second language should be checked against the audio. Interpretation channels recorded separately can be transcribed as their own files.
Which exports are there, and who can see the recording?
The secretary can export TXT, DOCX, SRT, VTT and JSON. Recordings are transcribed on our own servers and are never used for training, which matters when the board discusses salaries or legal matters.
