multi-day · one file per session · Drive folder link

Transcribe a whole conference from one shared folder.

A UK conference that runs over two or three days produces one recording per session, and WhipScribe takes the whole Google Drive folder from a single link and returns a transcript for each file. Eighteen 50-minute sessions come to 900 minutes, which the $12 pack of 2,000 minutes covers with room for the next event, and the first 20 minutes are free.

How a conference archive gets done

Every session searchable before the delegates have finished their feedback forms.

A folder link does the uploading

AV teams usually hand over a Drive folder with one file per room and slot. Share it with anyone who has the link and paste that link here: each recording inside is picked up and transcribed as its own job, so nobody uploads files one by one.

One transcript per session

Keynotes, panels and breakout talks stay separate, each with its own chapters and brief. That matters when the programme team wants the plenary text on the website by Friday and the workshops summarised for members later.

What a three-day programme costs

Six sessions a day for three days at about 50 minutes each is 900 minutes. That is well inside the 2,000 minutes in a $12 pack, and the leftover credit carries straight into next year's event because it never expires. upload page

Captions and write-ups from the same run

Export SRT or VTT to caption the session videos you publish, and DOCX for the conference report. The names, figures and dates each speaker gave are pulled out, which makes writing the post-event summary much quicker.

Why conference recordings go unused

Thirty files, thirty uploads, and a deadline that passes.

✗ File-by-file tools

Conference teams often give up after the keynotes because every session needs its own upload, its own wait and its own export.

  • One upload per session, by hand
  • Free tiers capped well below a 90-minute plenary
  • Panel crosstalk with no names in the notes
  • Captions ordered separately per video
  • Monthly plans for a once-a-year event
  • Archive folders nobody can search

✓ The folder, in one go

A shared folder becomes a set of transcripts with chapters, quotes and caption files.

  • One Drive folder link for the whole event
  • About 2 minutes per hour of each session
  • Panellists named in the summary and quotes
  • SRT, VTT and DOCX per session
  • Packs, not a subscription
  • Credits carry over to next year

00:00:45 Good afternoon. We have three panellists and forty minutes, so I'll keep the introductions short.
00:06:20 The short version is that funding arrived in the second year, not the first, and we planned as if it would.
00:19:02 I'd disagree slightly. We had the money; what we didn't have was anyone trained to spend it.
00:38:15 We have time for one question from the floor. Yes, at the back.

FAQ

Conference recordings, the questions organisers ask.

How quickly will the sessions be ready?

Each session processes at roughly 2 minutes per hour of audio, so a 50-minute talk takes under 2 minutes. A folder of 18 sessions finishes within the hour, depending on how busy the queue is.

What will a two-day conference cost?

Count the minutes. Twelve sessions of an hour each is 720 minutes, which needs the $12 pack of 2,000 minutes; a single plenary day of six hours fits the $6 pack of 500 minutes with 140 minutes spare. Larger events of 40 or more sessions belong on the $24 pack of 5,000 minutes, which also includes API access.

How large can each session file be?

Each session file may be up to 10 hours or 5 GB. Before the first pack is bought, uploads go up to 2 GB, which covers most session videos at conference resolution.

The AV team gave us whole-day room recordings. Do they need splitting?

No, as long as each file is under 10 hours. A full room recording comes back as one transcript with chapters showing where each talk starts. If you want one transcript per talk for publishing, split before uploading.

We had sessions in French and Welsh. Will they work?

Yes. Each file is detected in its own language among 99, so a French session and an English keynote in the same folder are both transcribed as spoken.

Can delegates' questions from the floor be private?

The transcript includes whatever the microphones picked up. Recordings are transcribed on our own servers and are never used for training. You can delete any session and its transcript whenever you choose, and you decide what to publish.
