Room video bar · platform recording · about 2 min per hour

Transcribe long meetings recorded in a Poly Studio room from the file your meeting platform kept.

A Poly Studio video bar captures the room, but the recording itself is kept by the meeting platform, so you download that file and upload it here, and a 2.5-hour meeting comes back as text in about 5 minutes. The first 20 minutes are free, and the 150 minutes fit the $6 pack of 500 minutes with 350 left over.

Room camera to readable minutes

The bar sees the room. The platform holds the file. We turn the file into text.

Find the recording first

In most rooms the Poly Studio is the camera and microphone for a call in Zoom, Microsoft Teams or Google Meet, and that service makes the recording. Zoom cloud recordings download from the Zoom web portal, Teams recordings sit in OneDrive or SharePoint, and Meet saves to the organiser's Google Drive. Ask whoever started the meeting if you cannot see it.

Link or upload

A Meet recording in Google Drive can be pasted here as a share link, with nothing to download. A Zoom or Teams recording is downloaded to your computer first, usually as an MP4, and then dropped onto upload page. The size ceiling is 10 hours or 5 GB for each recording.

Room audio, not a headset

A video bar hears the whole table, so people far from it sound quieter and side remarks overlap. Speech that reaches the microphones clearly comes back clearly. Ask people to speak toward the bar for decisions and numbers, and keep the coffee machine and projector fan away from it if you can.

Minutes the team can use

The text comes back with a brief of what was decided, chapters with timestamps, and the names, dates and figures people said. Speakers are named in the summary, key quotes and chapters, so the action owner is easy to find. Ask the chat what was agreed about the budget and it points to the minute.

Long room meetings elsewhere

A two-hour room recording is an awkward file for most transcription tools.

✗ Where it stalls

The room recording exists, and nobody turns it into notes.

  • Built-in captions that end with the call
  • Text that never leaves the meeting app
  • A Whisper API ceiling of 25 MB per file
  • Converting video to audio before upload
  • Long meetings cut into hour-long parts
  • Owners of each action guessed afterwards

✓ From the platform file

One download, one upload, one document for the whole meeting.

  • MP4 accepted as the platform saved it
  • 2.5 hours back in about 5 minutes
  • A whole day of meeting in one upload
  • A chapter for each point on the room agenda
  • Decisions and owners named in the summary
  • SRT if the recording is shared later

Illustrative only: these lines were written for this page and come from no real meeting. Roles stand in for names, and the timestamps show a 2.5-hour session.

00:02:14 Remote people, can you hear the room? Wave if the far end of the table is too quiet.
00:31:40 We hear you fine. The slide with the second-quarter numbers is a bit small on our side.
01:18:05 So we hold the hiring plan at four until the contract renews in March.
02:26:50 Before we close: three actions, three owners, and we review them at the next meeting.

FAQ

Poly Studio room recordings, the common questions.

How long does a 2.5-hour room meeting take to transcribe?

About 5 minutes, since processing runs at roughly 2 minutes per hour of audio. A full-day 7-hour session would take about 14 minutes, and the proof page shows a 4.94-hour file finished in 372 seconds.

What does a long room meeting cost?

Your first visit to the site includes the first 20 minutes of the meeting free. One 150-minute meeting uses 150 of the 500 minutes in the $6 pack, so three such meetings fit it. A weekly 2.5-hour meeting for a 13-week quarter is 1,950 minutes, which fits the $12 pack of 2,000 minutes with 50 to spare.

Does the Poly Studio itself store the recording?

In a typical room setup, no: the bar works as the camera and microphones for the meeting software, and that software keeps the recording. Check where your platform saved it, then download the file or paste its Google Drive link.

The recording is a large MP4. Will it upload?

Before any pack, files up to 2 GB upload; past that, the meeting starts once a pack is on the account, with a ceiling of 5 GB or 10 hours. As a check on size, video saved at about 1 Mbps is 450 MB an hour, so a 2.5-hour meeting is roughly 1.1 GB.

Our meetings switch between English and another language. Is that a problem?

There is nothing to set, since 99 languages are recognised automatically. A meeting that switches is detected on its main language, and English and Tagalog switches in one recording are handled.

Which files can I download, and who hears the meeting?

You can download TXT, DOCX, SRT, VTT and JSON files of the meeting. Recordings are transcribed on our own servers and are never used for training, which keeps internal meetings internal. No bot joins your call, because the work happens on the recording afterwards.
