Transcribe recordings made in a hotel ballroom hours of speeches, one document per day.

Recordings from a hotel ballroom, usually an 8-hour conference day or a 3-hour gala of speeches and toasts, come back as text at about 2 minutes per audio hour, so the conference day takes about 16 minutes. The first 20 minutes are free, and a two-day conference of 960 minutes fits the $12 pack of 2,000.

What a ballroom does to speech

Carpet, chandeliers and a partition wall, with the hotel's AV desk at the back.

Kinder than most big rooms

Ballrooms are carpeted and often partitioned, so the echo is moderate, and conferences run through a sound desk. A feed from that desk is the best source you will get. A phone on a round table at the back records the table's conversation more than the stage.

Galas are mostly music

At a gala, the band, dinner service and applause fill most of the evening, and none of that is transcribed. The speeches, toasts, award citations and auction calls are, each as its own chapter with a timestamp.

A conference, priced

One 8-hour day uses 480 of the 500 minutes in a $6 pack. Two days is 960 minutes and three days is 1,440, both inside the $12 pack of 2,000. An events team covering several conferences a year can use the $24 pack of 5,000.

Sessions turned into proceedings

Each session comes back with a brief, chapters, the names, numbers and dates said and the questions it answered. Keynote and panel speakers are named in the summary, key quotes and chapters, which is what proceedings and a post-event write-up need.

Why conference recordings go to waste

The sessions were filmed. Nobody has eight hours to write them up.

✗ Session videos and a promise

Organisers promise the recordings to attendees, then post long videos that are hard to search or quote.

  • A full day in a single video file
  • Captions that stumble over the PA
  • Writers hired to summarise each session
  • Upload limits that split a session in two
  • Questions from the floor lost
  • A subscription for an annual event

✓ Every session as text

One file per day or per session comes back ready to edit into proceedings, articles or attendee notes.

  • A full ballroom day back in about 16 minutes
  • The first 20 minutes free
  • Two days inside the $12 pack
  • Keynote speakers named in summary, quotes and chapters
  • Music and applause left out
  • SRT and VTT for the session videos

FAQ

Hotel ballroom recordings, answered.

How long does a conference day take to transcribe?

At about 2 minutes per hour of audio, an 8-hour day is ready in around 16 minutes and a 45-minute session in about a minute and a half.

What does a two-day conference cost?

Two 8-hour days are 960 minutes, which the $12 pack of 2,000 covers with more than 1,000 minutes left. A first-time visitor gets the first 20 minutes free, credits never expire, and nothing renews.

The AV company gave us one video per day. Is that too large?

That day file can run up to 10 hours or 5 GB. Up to 2 GB starts immediately before the first pack, and a bigger file waits until one is on the account. A day longer than 10 hours goes in as two files.

Some sessions were streamed. Can we paste the stream link instead?

Yes, for a YouTube or Vimeo link, including a YouTube live replay. Streams over 6 hours start after a pack is on the account. Recordings held on other event platforms are downloaded first, then uploaded.

Our conference ran in several languages.

Detection is automatic across 99 languages. Each file is transcribed on its main language, so sessions held in Spanish, Japanese or Hebrew come back in that language. If an interpretation channel was recorded separately, upload it as its own file.

What formats come back, and is it private?

All five formats, TXT, DOCX, SRT, VTT and JSON, come from one run. Recordings are transcribed on our own servers and are never used for training.
