Quick answers

The five questions people ask before the first upload.

What does WhipScribe do for recurring Google Drive folder recordings?
Import a Google Drive folder you transcribed before, and WhipScribe skips every file this account already transcribed from Drive. The new recordings run and land in the same Library folder as last time.
How much does it cost?
The summary of any recording is free to read; a pack from $6 (500 minutes) opens the full transcript. Credit packs: $6 = 500 min · $8 = 1,000 min · $12 = 2,000 min · $24 = 5,000 min; credits never expire and there is no seat fee. Workspace is $19 a month for unlimited transcription (300-hour fair-use mark; 100 GB of storage included, then $3 per extra 100 GB a month).
How long does a transcript take?
A one-hour recording is usually ready in about two minutes; most files finish in under a minute. Files up to 10 hours or 5 GB per file.
Is it private?
Yes. Transcribed on our own servers; audio is never sent to a third-party AI service. Never used to train, fine-tune or evaluate any model. Delete a recording and its transcript at any time; account deletion removes every record tied to the email.
Which languages and files does it accept?
99+ languages, detected automatically; the transcript stays in the recording's language. Input: any audio or video file (MP3, MP4, M4A, WAV, FLAC, OGG, WEBM, MOV, GSM and more), a YouTube, podcast, RSS, Google Drive, Twitch or Kick link, or a microphone recording. Export: TXT, DOCX, SRT, VTT, JSON.

What matters when transcribing recurring Google Drive folder recordings?

01

Matched by Drive file ID, not by name

Each file is remembered by its Google Drive file ID once this account imports it. Rename 'Interview 03.m4a' or move it into a subfolder and it still counts as done. A file counts as done while its transcript is queued, processing or finished; delete that transcript and the file runs again on the next import.

02

The review step shows the split before anything runs

After you pick the folder, the review counts the audio and video files, the folders they sit in, their total size and how many were already transcribed. Only the new ones start. Transcribing the done files again is a separate tick: it costs credits again and keeps the earlier transcripts.

03

Same Library folder, same subfolders

A Drive folder imports into a Library folder with the same name, matched regardless of capital letters, and its subfolders keep their structure. The second run adds to the folder the first run made, so a term's or a quarter's recordings stay in one place in the Library.

04

New files on arrival need a trigger

The Library import runs when you start it; watching a Drive folder for new files is not available yet. For recordings that should start the moment they land, a Google Drive new-file trigger in Zapier, Make or n8n submits each file to the API with an Idempotency-Key built from the Drive file ID, so a retried step does not bill twice.

How it works

How do I transcribe a recurring Google Drive folder recording?

Step 1

Connect Google Drive

In the Library, Add content → Google Drive. Google asks you to allow read-only access to your Drive.

Step 2

Pick files or folders

Tick single files or whole folders, subfolders included. Run it again later and the files already done are skipped.

Step 3

Read, then send it back

Each file gets a transcript and the Intelligence brief. Save to Drive writes TXT and SRT into a new Drive folder.

Customer interview 14 — adding a second warehouse

48 m · English · 6,200 words

Brief overview

The customer will move the second warehouse onto the new picking flow in May, provided barcode labels can be printed in bulk before then.

  1. The second site goes live in May; the date was agreed at 09:40 after a talk about staffing.
  2. Bulk label printing is the blocker named at 21:15; without it the team keeps paper pick lists.
  3. A weekly check-in is proposed at 41:30 until the second site is running.

Questions this recording answers

When does the second warehouse move over?
In May, agreed at 09:40, as long as bulk label printing is ready first.
What could delay it?
Printing barcode labels in bulk; until that works the team stays on paper pick lists.

Questions

What else do people ask about recurring Google Drive folder transcription?

How does WhipScribe know a Drive file was already transcribed?

By its Google Drive file ID. When this account imports a file from Drive, the ID is recorded, and a later import of the same folder skips it while that transcript is queued, processing or done. Renaming the file does not change the ID. If you deleted the transcript, the file runs again.

Can WhipScribe transcribe new Drive files automatically?

Not from the Library import: it runs once, and watching a folder is marked as coming later in the app. To start files as they arrive, build a Google Drive trigger in Zapier, Make or n8n that submits each new file to the API; the recipe is at /automations/transcribe-every-file-in-a-drive-folder. API access comes with the 5,000-minute pack or Workspace.

What if I want a file transcribed again?

Tick the option to transcribe the files already done again in the review step. It costs credits again and keeps the earlier transcripts, so both versions stay in the Library.

Run the folder again. Pay for the new files only.
