Quick answers

The five questions people ask before the first upload.

What does WhipScribe do for training video recordings?
Import the onboarding and training videos from Google Drive, with the folder structure kept. Ask the library a question and get the video and the moment, add SRT captions, and send the transcripts back to Drive for new hires.
How much does it cost?
The summary of any recording is free to read; a pack from $6 (500 minutes) opens the full transcript. Credit packs: $6 = 500 min · $8 = 1,000 min · $12 = 2,000 min · $24 = 5,000 min; credits never expire and there is no seat fee. Workspace is $19 a month for unlimited transcription (300-hour fair-use mark; 100 GB of storage included, then $3 per extra 100 GB a month).
How long does a transcript take?
A one-hour recording is usually ready in about two minutes; most files finish in under a minute. Files up to 10 hours or 5 GB per file.
Is it private?
Yes. Transcribed on our own servers; audio is never sent to a third-party AI service. Never used to train, fine-tune or evaluate any model. Delete a recording and its transcript at any time; account deletion removes every record tied to the email.
Which languages and files does it accept?
99+ languages, detected automatically; the transcript stays in the recording's language. Input: any audio or video file (MP3, MP4, M4A, WAV, FLAC, OGG, WEBM, MOV, GSM and more), a YouTube, podcast, RSS, Google Drive, Twitch or Kick link, or a microphone recording. Export: TXT, DOCX, SRT, VTT, JSON.

Built for Training videos

What matters when transcribing training video recordings?

01

Import the library as it is organised

In the Library choose Add content → Google Drive and tick the training folder. Subfolders such as Onboarding, Tools and Safety are included by default and mirrored as Library folders with the same names. Slide decks and handbooks in those folders are left alone; only audio and video is imported, one recording per video.

02

Ask the folder instead of scrubbing

A new hire asks Ask this folder how expense approvals work and gets an answer from up to three videos that mention it, each cited by video and moment. A folder ask does not include its subfolders, so ask the subfolder, or use Ask library to cover everything.

03

Captions for accessibility

Download SRT or VTT for each video and attach it in your video player or LMS. Export to Google Drive from a folder's ⋯ menu writes a TXT and an SRT for every finished transcript into a new Drive folder, so the captions can sit beside the course material your team already shares.

04

Transcripts new hires can open

Export to Google Drive… on the training folder writes a TXT and an SRT for every finished video into a new Drive folder; share it with new hires the way you share the handbook. For one video, use Share on that recording and send the link. Notion can hold one page per video for a handbook (see /integrations/notion), and a poller can post to Slack when a newly imported video is ready (see /integrations/slack).

How it works

How do I transcribe a training video recording?

Step 1

Connect Google Drive

In the Library, Add content → Google Drive. Google asks you to allow read-only access to your Drive.

Step 2

Pick files or folders

Tick single files or whole folders, subfolders included. Run it again later and the files already done are skipped.

Step 3

Read, then send it back

Each file gets a transcript and the Intelligence brief. Save to Drive writes TXT and SRT into a new Drive folder.

Onboarding module — submitting and approving expenses

24 m · English · 3,100 words

Brief overview

The trainer walks through filing an expense, the approval chain, and the three mistakes that send a claim back.

  1. Receipts must be attached before submission; the walkthrough starts at 03:10.
  2. Claims over the team limit go to a second approver, explained at 09:45.
  3. The three common rejections, covered from 15:30, are missing receipts, wrong cost centre and late filing.

Questions this recording answers

Who approves a claim over the team limit?
A second approver after the line manager, as explained at 09:45.
Why do claims get sent back?
Missing receipts, the wrong cost centre, or filing after the window; all three are covered from 15:30.

Questions

What else do people ask about training video transcription?

Does WhipScribe see our whole Drive?

Connecting asks Google for read access to your Drive, and the in-app browser lists it so you can choose. Only the files and folders you pick are imported, and only audio and video among them. Your Drive credentials never reach the browser or the transcriber.

Can new hires read the transcripts without an account?

Yes: export the folder to Google Drive and share that Drive folder, or use Share on a recording and send the link. Asking questions across the videos is done from the signed-in Library with Ask this folder or Ask library.

How many videos can one import take?

Hundreds of audio and video files per import. For a larger library, run the same import again: files already transcribed are skipped and the rest are picked up. A Library folder holds up to 5,000 items.
