WhipScribe transcribes HR interview recordings for $0.29 to $0.48 per audio hour, with packs from $4 for 500 minutes or Workspace at $19 a month for steady volume. An hour of audio takes about 2 minutes, and recordings are transcribed on our own servers and are never used for training.
Why HR teams transcribe
An investigator asking questions cannot also write down every answer word for word. When a decision is challenged months later, the question is always the same: what exactly was said, and by whom? A recording answers that, but nobody can quote a recording in a report. A transcript can. WhipScribe turns the recording of an investigation, disciplinary, grievance, appeal or exit interview into a timestamped transcript, a summary and a set of key quotes and chapters with the speakers named, in minutes rather than days.
It is machine transcription, so it is fast and inexpensive,. It is not a certified transcript, and further down we say plainly when an HR team should pay a human service instead.
What HR teams send us
Each one is a recording you already have, from a phone, a handheld recorder, Zoom, Teams or Google Meet.
Complainant, respondent and witness interviews. Key quotes come out with the speaker named and a timestamp, so the findings section of the report can cite the moment each account was given.
The questions put, the employee's explanation and the outcome in one record, so an appeal panel reads the first hearing instead of two sets of notes.
A grievance often turns on one sentence a manager said. Search the transcript for it, jump to the timestamp, and listen to it in context before anyone repeats it in a letter.
Recorded with the leaver's agreement, a quarter of exit interviews becomes something people read. The summaries surface the same reasons for leaving across teams without anyone retyping notes.
What you get
Speakers are identified and named in the summary, key quotes and chapters. Each quote carries its timestamp, so you can play the moment and check it before it goes into a report.
A two-hour hearing splits into chapters: the allegation put, the response, each witness point, the close. Jump straight to the part the panel asks about.
Every line timestamped, searchable in the browser, and exported as DOCX for the case file, TXT for notes, or SRT, VTT and JSON for anything else.
Each recording also gets a brief with the main points, the names, numbers and dates that were said, the questions the recording answers, and a chat over the transcript. Languages are detected automatically across 99+ of them, so an interview conducted in Spanish or Hindi needs no setting.
Confidentiality
Investigation and grievance recordings carry allegations, health details and names. Here is where they go:

How it works
Tell everyone in the meeting that it is recorded and why, in line with your policy and local law. Any phone or meeting app recording will do.
Drop the file in the box at the top of this page, or import it from Google Drive. One file can be up to 10 hours or 5 GB.
The summary shows what the interview covered and who spoke. A pack from $4, or Workspace, opens the full transcript, key quotes and chapters.
Play the quotes you will rely on against the audio, then export DOCX for the investigation report or case file.
What it costs
Credits never expire. Every recording gets a free preview; a pack or Workspace opens the full transcript.

A meeting bot is awkward in an investigation interview, and in-person meetings need a recording anyway. A human service is right for the few records that go to a tribunal; for the rest, a machine transcript checked against the audio is enough. FAQ
Packs are $4 for 500 minutes, $8 for 1,000, $12 for 2,000 and $24 for 5,000, which is $0.29 to $0.48 per hour of audio. Credits never expire, and Workspace is $19 a month with fair use of 700 hours. Every recording gets a free preview: the summary is free to read.
About 2 minutes of processing per hour of audio, and most files finish in under a minute. A three-hour hearing usually comes back within half an hour, so the record can go to the case file the same day.
WhipScribe identifies and names the speakers in the summary, key quotes and chapters, and every line of the transcript carries a timestamp, so you can check any attribution against the audio. If every line of the record must carry a named speaker, use a human service.
Recordings are transcribed on our own servers and are never used for training. The audio is not sent to a third-party AI service, and you can delete a recording and its transcript at any time.
Treat it as a working record you check, not a certified transcript. Nobody listens to the file, so before a transcript is relied on, someone should read the passages that matter against the audio using the timestamps. If a tribunal or court needs a certified transcript, use a human service. This is general information, not legal advice.
Rules differ by country and state, and many employers have their own policy on recording meetings. Tell everyone in the room that the meeting is recorded and why, and check the law and your policy before you record. This is general information, not legal advice.
Audio or video from a phone, recorder, Zoom, Teams or Google Meet, up to 10 hours or 5 GB per file, or an import from Google Drive. Exports are TXT, DOCX, SRT, VTT and JSON; DOCX drops straight into a case file or an investigation report.
Packs suit an occasional investigation or a quarterly batch of exit interviews, because credits never expire. Workspace at $19 a month starts to cost less than the largest pack at around 65 hours of recordings a month, and it keeps the bill the same every month for a team that records steadily.
