Alternatives · Otter

The Otter alternative for files, not meetings.

Otter is built to attend your calls and write them up. Whipscribe takes a recording or link you already hold and hands back the text. Which suits you follows from where your audio comes from.

Different products

Otter attends meetings. We start from the file that already exists.

Where your audio comes from decides which of the two you want.

Otter is a meeting assistant. You invite it to a call, it listens, and it writes the meeting up afterwards. For teams whose audio is born inside scheduled calls that is a strong product, and we replace none of it, because there is no bot here to send anywhere.

The friction shows when the audio was never a meeting. A recorded interview, a lecture or a conference talk already exists as a file, and on the free plan the figure that governs those is the import allowance rather than the monthly minutes.

Whipscribe vs Otter

Every Otter figure below was read from their pricing page in September 2026. Check it for current limits before relying on one.

Sending a link Podcast hosts, YouTube and Apple Podcasts episodes, though Spotify, Kick VOD, Podbean and Zoom are refused Oriented towards calendar and meeting sources

Otter is priced for meetings and serves them well. For recordings that already exist, the import allowance shapes the experience before the minutes do.

What the money looks like

Twelve recorded interviews for one project.

Twelve files is where the free plan's shape matters more than its minute count. Basic's three lifetime imports are spent on the third recording, and the remaining nine need a paid seat however few minutes they hold.

At 45 minutes each the set runs to 540 minutes. Out of a $12 pack of 2,000 that is roughly $3.24, the first of the twelve costs nothing, and no ceiling applies to how many you send.

Otter Basic · 3 imports for the life of the account, so the fourth interview needs a seat
Otter Pro · $16.99 a month, or $8.33 on annual billing, with 10 imports a month
Whipscribe · 540 minutes is about $3.24 of a $12 pack, and the first is $0.99

Where the audio genuinely is meetings, that seat buys a bot, written-up notes and a shared history which a transcription tool does not provide.

Who should pick which

Three shapes of work that never involve a meeting.

In each of these the recording exists before any tool gets chosen.

Project work in batches

Interviews and site recordings arrive a dozen at a time. A lifetime import allowance is spent in the first week of the first project.

Audio that predates the tool

Archived recordings were never meetings. There is nothing for an assistant to attend, only files waiting to be read.

One-off needs

A single recording does not warrant a monthly seat. Minutes bought once and left in a balance fit that shape better.

Questions people ask first

Otter questions, answered honestly.

Is Whipscribe a meeting notetaker like Otter?

No. Otter is invited to a call and writes it up afterwards, and we have nothing that joins a meeting. Whipscribe takes a file or a link you already hold and returns the text, which is a different job entirely.

What does the free Otter plan allow?

Otter's Basic plan is free and allows 300 transcription minutes each month, with no single conversation longer than 30 minutes and only 3 audio or video file imports for the lifetime of the account, checked September 2026.

What does Otter charge?

Otter publishes per-user seat prices. The Pro seat is $16.99 a month billed monthly and $8.33 a month on annual billing, while Business is $30 and $19.99 on the same basis, with Enterprise quoted on request, checked September 2026.

How many files can I send to Whipscribe?

There is no cap on the number. Each file can run to 10 hours or 5 GB once you hold credits, and the free first transcript at any length.

What do the downloads contain?

TXT, DOCX, SRT, VTT, JSON and MD. Speaker labels are visible while you read the transcript on the site, and JSON alone preserves them, so the other five arrive without speaker names.
